Body Shop Administrative Assistant (Part Time)

About The Position

Provide administrative support to the body shop team, including scheduling appointments, managing repair orders, and maintaining accurate records. Extensive interaction with guests to keep them informed about the status of their vehicle repairs and coordinate pick-up and delivery times. Assist with the preparation of estimates, invoices, and insurance paperwork, ensuring all documents are accurate and processed efficiently. Answer phones, direct calls, and handle guest inquiries professionally and courteously. Maintain a clean and organized office environment and manage office supplies. Assist with additional tasks and special projects as needed to support body shop operations. Assist new team members with the dealership onboarding processes, including completing their I9 Section 2, system access and training, and training course enrollment. Schedule: Monday-Thursday 12:00pm to 5:30pm & Friday 12:00pm to 5:00pm Pay starting at $17.00/hour based on experience.

Requirements

  • High school diploma or equivalent; Associate’s degree or relevant certification is a plus.
  • At least 1-2 years of experience in an administrative or customer service role, preferably in an automotive or body shop environment.
  • Outgoing people-person
  • Strong organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with shop management software is a plus.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize in a fast-paced, dynamic environment.
  • A positive attitude and a commitment to delivering outstanding guest service.

Nice To Haves
