About The Position

The Larson Group Peterbilt is looking for an experienced Administrative Assistant to join our dynamic team. The Body Shop Administrative Assistant will perform diversified secretarial duties within the Body Shop Department. This position supports Body Shop Management with a variety of administrative and clerical tasks.

Requirements

  • Should possess a High School diploma.
  • Experience in an office front desk environment is preferred but not required.
  • Working knowledge of Microsoft Office Suite (Word, Excel).
  • Must be able to type proficiently and communicate effectively.
  • Must pass pre-employment drug screen and background check.

Responsibilities

  • Answers Body Shop phone calls.
  • Administers prepared estimates.
  • Facilitates communication with insurance companies and relevant parties.
  • Prepares special reports as directed.
  • Processes billing work order invoices.
  • Prepares and processes warranty claims.
  • Prepare letters, reports and forms.
  • Assists with maintaining and reconciling paint inventory.
  • Prepares vendor invoices for Accounts Payable Department.
  • Prepares weekly Labor Time Reports for payroll.
  • Communicates to customer any changes in repair plan and estimates.
  • Ensures customers are kept up to date on repair progress.
