About The Position

The UI Blood & Marrow Transplant (BMT) Program seeks a highly skilled and experienced Business Administrative Associate II (BAA II) to join our team. The BAA II is a key member who maintains collaborative partnerships with the BMT Program Director, Quality Manager, Oncology Clinic Directors, including Ambulatory and Hospital Administration, to drive program success and growth. The BAA II is responsible for overseeing the daily administrative operations of the BMT program and plays a pivotal role in aligning resources, overseeing budgets, and ensuring compliance with federal and state regulations. This key role operates with a general degree of autonomy and is charged with adapting strategic goals into operational plans to ensure the delivery of high-quality, cost-effective patient care in alignment with the UI CARE values, reporting directly to the Director of Clinical Stem Cell Laboratory, UI Blood & Marrow Transplant Program.

Requirements

  • Bachelor's degree in business administration, management, or a field related to the position.
  • Two (2) years of professional business, financial, and/or managerial work experience.
  • Two (2) years of experience in Blood & Marrow Transplant or Cellular Therapy program, related business or administrative activities required.

Responsibilities

  • Collaborate with leadership to develop and implement strategic plans that enhance the program's service delivery and growth opportunities.
  • Assist in the preparation of a five-year business plan for the BMT Program, tracking progress and ensuring program expansion aligns with industry trends and needs.
  • Contribute to the identification and implementation of new business opportunities to expand BMT services, including marketing and promotion.
  • Assist in the development of annual operating and capital budgets for the BMT Program, monitoring expenditures to stay within approved budget limits.
  • Jointly manage clinic profit and loss, addressing budget variances and identifying opportunities for cost optimization.
  • Oversee financial reporting to third-party payors, ensuring timely and accurate submission of programmatic data.
  • Oversees contract management by submitting and monitoring the progress of non-disclosure agreements, master services agreements, contracts as assigned, purchase orders, and contract renewals with the National Marrow Donor Program (NMDP) or other stakeholders.
  • Performs feasibility and financial studies (e.g., value-added analysis, ROI) for proposed new services, applying working knowledge and skills to perform analytical methods and present findings to leadership.
  • Manages and implements all operational policies and procedures, ensuring the BMT Program meets the compliance standards of FACT, TJC, CMS, and other regulatory agencies.
  • Responsible for reporting activities by managing federally mandated data reporting (CIBMTR, NMDP) and leading the preparation of annual programmatic data for payors and RFIs.
  • Collaborate with BMT Clinical Medical Directors, Program Director, Quality Manager, and Ambulatory and Hospital Administrators to align services with program goals and regulatory requirements.
  • Acts as a backup and resource to the Healthcare Reimbursement Analyst to ensure continuity of critical financial and revenue cycle operations. Performs annual review of the charge master for the program(s).
  • Responsible for maintaining accurate equipment and inventory for BMT, through the biennial equipment inventory process, and procurement of equipment, office/clinic supplies.
  • Oversee and manage the daily operations of the BMT program, ensuring the delivery of quality, safe, and cost-effective patient care.
  • Oversee personnel functions with direct responsibility for recruitment, hiring, training, performance evaluations, payroll processing, and employee relations matters of non-clinical staff.
  • Partner with the Nurse Leader in Oncology Service Line regarding all nursing human resources matters, ensuring adherence to the INA collective bargaining agreement.
  • Responsible for managing labor relations issues and ensuring compliance with collective bargaining agreements. Partners with Ambulatory leadership to establish staffing plans that maximize productivity while maintaining exceptional patient care standards.
  • Provide leadership in staff development, resolving employee concerns, and fostering a positive workplace culture.
  • Maintains staff compliance with all mandatory annual training, licensing, and certification requirements as stipulated by hospital policies.
  • Serves as the primary administrative resource for the BMT program; represents the BMT program at various committees and hospital meetings. Actively fosters interdepartmental collaboration across clinical and administrative units to drive the strategic growth of cellular therapies.
  • Collaborate with the Patient and Guest Services department to lead service excellence efforts to boost the patient experience. Uses satisfaction data to improve patient access, services, and ensure timely resolution of all grievances are resolved effectively.
  • Works with a general degree of autonomy to manage daily administrative tasks, space planning, and the annual review and updating of the Program's Disaster Plan to ensure continuity of services in extreme situations.
  • Perform other related duties and participate in committees, work groups, and/or special projects as assigned.
