About The Position

Children’s Happy Teeth & Happy Braces is a growing pediatric dental and orthodontic organization committed to delivering exceptional care and creating positive experiences for every child and family we serve. As we continue to expand, we are seeking an experienced and detail-oriented Billing Manager to lead our billing operations and support our mission. The Billing Manager will oversee the full billing cycle, ensuring accuracy, compliance, and efficiency in all processes. This role requires strong leadership, deep knowledge of dental billing (including Medi-Cal & HMO plans), and the ability to collaborate across teams while supporting both staff and patients.

Requirements

  • 3–5 years of experience in dental billing (pediatric and/or orthodontic experience preferred)
  • Minimum of 2 years of experience in a dental practice or DSO with $10M+ in collections
  • Experience managing a team of 4 or more billing staff
  • Hands-on experience with Medi-Cal Dental billing, including pre-authorizations, NOA, CIF, CRA, and related processes
  • Strong knowledge of dental insurance billing, coding, and claims processing
  • Proficiency in billing software and Microsoft Office (Excel, Word, Outlook)
  • Exceptional attention to detail and accuracy in financial record management
  • Strong analytical and problem-solving abilities
  • Excellent interpersonal and communication skills, with the ability to explain billing processes clearly to patients and families
  • Proven ability to lead, support, and develop a team
  • Collaborative mindset with the ability to work effectively with both administrative and clinical teams

Responsibilities

  • Oversee the entire billing process, including insurance verification, claim submission, follow-ups, and payment posting
  • Ensure compliance with all insurance guidelines, billing regulations, and company policies
  • Monitor accounts receivable and implement strategies to improve collections and reduce aging
  • Train, mentor, and manage billing team members, fostering a collaborative and high-performing environment
  • Communicate with patients and families regarding billing inquiries and explain financial responsibilities clearly and professionally
  • Collaborate closely with clinical teams to ensure accurate coding, documentation, and claim submission
  • Review and resolve complex billing issues, denials, and discrepancies
  • Generate and analyze billing reports to support leadership decision-making
