Position Overview Melone Hatley is seeking a detail-oriented and motivated Billing Specialist to join our esteemed law firm. The successful candidate will support the Billing Manager in handling all aspects of client billing and invoicing. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. As an Assistant Billing Specialist, you will play a critical role in ensuring accurate and timely billing processes, contributing to the financial health and client satisfaction of our firm. This role will be performed on-site in our Virginia Beach office.

Requirements

  • Associates degree in accounting, finance, or related field; Bachelors degree preferred.
  • Minimum of 2 years of experience in a billing or finance-related role, preferably in a law firm or professional services environment.
  • Proficiency in billing software and Microsoft Office Suite, particularly Excel.
  • Strong numerical aptitude and attention to detail.
  • Excellent organizational and time management skills.
  • Ability to communicate effectively, both verbally and in writing.
  • Strong problem-solving skills and the ability to handle sensitive and confidential information.
  • Ability to work independently and collaboratively in a team-oriented environment.

Nice To Haves

  • Familiarity with legal billing software (e.g., Clio, Bill4Time, or similar) is a plus.

Responsibilities

  • Assist in the preparation and issuance of client invoices, ensuring accuracy and compliance with client agreements.
  • Review and verify billing data, including time entries, expenses, and other related documentation.
  • Collaborate with attorneys and staff to resolve billing discrepancies and issues promptly.
  • Maintain and update billing records and client information in the firm's billing system.
  • Generate and distribute monthly billing reports to attorneys and management.
  • Handle billing inquiries from clients and internal staff, providing clear and timely responses.
  • Assist in the preparation of billing statements and related documentation for audits.
  • Support the Billing Manager in implementing process improvements and best practices in billing procedures.
  • Perform regular follow-ups on outstanding invoices and assist in collections efforts as needed.
  • Ensure confidentiality and security of all financial and client information.
