About The Position

The Billing Specialist-RARC is responsible for performing administrative and billing functions related to the purchasing, maintenance, lab work, housing, and supplies for animal care and use. This role serves as a resource for investigators and staff regarding billing issues and ensures the integrity of billing data and processes.

Requirements

  • High School Diploma required; Bachelor's degree preferred or equivalent professional experience.
  • Approximately 2 years of office experience required.
  • Excellent communication skills, both verbal and written.
  • Strong interpersonal skills and ability to interact with multiple constituencies.
  • Proficiency with MS Office Suite and database applications.
  • Strong organizational skills and attention to detail.
  • Ability to multi-task and work under pressure, prioritizing competing demands.

Responsibilities

  • Creates annual LOC's and monitors funding status, alerting when funding is nearly exhausted.
  • Serves as a resource to investigators and staff on billing, animal orders, and related transactions.
  • Reviews and updates data in the internal billing system, ensuring appropriate funding information.
  • Submits payment requests to Accounts Payable for invoices from research animal vendors and ensures proper processing of payments.
  • Performs quality control assessments on census and other data to ensure data integrity and resolves discrepancies.
  • Monitors outstanding accounts and maintains contact to recover outstanding amounts, reporting repeat offenders.
  • Maintains various animal and department records including receipts, bills, purchase orders, and finance reports.
  • Maintains a database of current investigator charge accounts and other pertinent records.
  • Produces and analyzes reports, projections, benchmarks, and graphs related to census activities and departmental services.
  • Assists with the preparation of annual reports for USDA, PHS, NY State Department of Health, and AAALAC.
  • Prepares SOPs for area responsibilities and maintains familiarity with relevant departmental SOPs.
  • Assumes responsibilities of Animal Inventory Assistant, Administrative Assistants, and System/Finance Analyst in their absence.
