About The Position

We’re looking for a Billing & Operations Coordinator to support accurate digital ad trafficking while owning billing, invoicing, and fee reconciliation across media partners and platforms. This role sits at the intersection of finance, ad operations, and media execution, ensuring campaigns launch correctly and all associated fees are tracked, reconciled, and billed accurately. The ideal candidate brings strong technical operational knowledge paired with excellent organizational and financial coordination skills.

Requirements

  • 3+ years experience in digital ad operations and/or media billing coordination
  • Familiarity with media billing, invoicing, and reconciliation processes
  • Experience tracking and managing third-party fees and technology costs
  • High attention to detail with strong organizational and documentation skills
  • Ability to manage multiple partners, invoices, and timelines simultaneously
  • Strong communication skills for cross-functional coordination with internal teams and external vendors

Nice To Haves

  • Experience working with: Campaign Manager or other ad servers Media billing or financial reconciliation tools
  • Familiarity with third-party measurement, data, and ad tech partners (e.g., LiveRamp, IAS)
  • Agency or in-house media operations experience
  • Comfort working with spreadsheets and financial tracking documents
  • Experience supporting finance or accounting teams in a media environment
  • Interest in improving processes related to billing accuracy and operational efficiency

Responsibilities

  • Coordinate billing, invoicing, and reconciliation across multiple media partners and platforms
  • Support digital ad trafficking as needed to ensure campaigns launch accurately and on time
  • Own tracking and management of media partner fees, including but not limited to: LiveRamp IAS Second-party data usage Ad serving and technology fees Additional platform or partner-related costs
  • Maintain accurate records of planned vs. actual spend and associated fees
  • Partner with internal teams, agencies, and vendors to resolve billing discrepancies
  • Support month-end and campaign-level reconciliation processes
  • Ensure invoices align with contracted rates, usage, and delivery; Identify and help resolve billing errors, missing invoices, or payment discrepancies.
  • Support improvements to billing workflows, tools, and reporting processes.
  • Maintain clear documentation and processes related to billing, fees, and reconciliation
  • Collaborate with Ad Ops, Digital Media, and Finance teams to ensure alignment across execution and financial reporting
