Job Summary The Billing Compliance Analyst plays a critical role in supporting the firm’s billing function by ensuring accuracy, efficient compliance with client outside counsel guidelines (“OCG”) time entry rules. This position is responsible for reviewing time during the month of entry, identifying non-compliant entries and necessary edits to align with client requirements. This role will develop and implement technology-driven solutions, including AI, streamline billing operations and optimizing timekeeping practices to reduce administrative burdens on lawyers. The ideal candidate is detail-oriented, highly organized, and adept at managing multiple priorities in a fast-paced legal environment. Additionally, the Billing Compliance Analyst will assist the Senior Compliance Manager in Ad Hoc requests and projects.

Requirements

  • Strong attention to detail and an ability to maintain accuracy in a high-volume, deadline-driven environment.
  • Ability to work independently while also collaborating with a team in a professional and cooperative manner.
  • Excellent written and verbal communication skills to interact effectively with attorneys, staff, and external contacts.
  • Strong organizational and time-management skills to prioritize multiple tasks efficiently.
  • Basic understanding of accounting principles and billing processes.
  • Proficiency in editing time entries using Elite 3E or similar legal billing systems.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • The position requires a bachelor's degree, preferably in accounting, finance, or another related field.
  • Experience reviewing legal time entries for compliance required.

  • Experience in providing instruction on time entry best practices preferred.

Responsibilities

  • Design and implement scalable solutions to address recurring compliance issues, leveraging technology and AI solutions where applicable.
  • Conduct analyses of attorney and staff time entries prior to proforma generation to ensure accuracy and compliance with firm and client standards.
  • Identify and amend non-compliant entries such as block billing, vague or administrative narratives ensuring that all submissions meet client-specific requirements.
  • Revise time entry narratives to meet client-specific billing requirements and firm standards.
  • Lead initiatives to improve timekeeping practices including delivering feedback and developing training programs for timekeepers.
  • Organize and lead periodic meetings with stakeholders leveraging data to assess, propose and refine time entry best practices.
  • Mentor and guide junior level employees in performing effective time entry reviews.
  • Support the billing team with advanced reporting and matter set up.
  • Collaborate with billing coordinators, administrative assistants, and finance management to ensure timely and accurate billing.
