About The Position

The Bilingual Patient Service Representative at Orthodontic Experts is a vital role focused on providing exceptional customer service and support to patients. This position involves managing patient interactions, scheduling appointments, and ensuring a smooth experience for patients visiting the clinic. The representative will be responsible for handling inquiries, collecting patient information, and assisting with insurance processes, all while embodying the company's core values of accountability, inclusion, and teamwork.

Requirements

  • High school diploma or GED equivalent.
  • 3 years of customer service experience.
  • 2 years of patient service experience.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access).
  • Excellent problem-solving and de-escalation skills.
  • Excellent written and verbal communication skills.
  • Bilingual in Spanish.

Responsibilities

  • Answer all phone calls and return voicemails promptly.
  • Check-in new and existing patients and notify clinical staff of their arrival.
  • Collect necessary patient information for new patients, including registration and medical history forms.
  • Check out patients by collecting payments and scheduling their next appointments.
  • Handle questions and provide information to walk-in patients regarding insurance and treatment options.
  • Maintain an up-to-date communication log with all necessary patient/parent information.
  • Review the daily schedule for any changes and fill in open spots with bondings, adjustments, or new patient consultations.
  • Adjust clinic hours based on the schedule and review bonding approvals with insurance.
  • Understand and communicate the cancellation policy to patients.
  • Print end-of-day reports and reconcile collected payments against the report.
