D’Addario is seeking a reliable, highly organized, and bilingual Front Desk & Office Administrative Coordinator to serve as the first point of contact at our Farmingdale office and manufacturing facility. This fully on site role is essential to creating a welcoming, professional workplace experience while supporting daily office operations and Human Resources processes. Bilingual fluency in English and Spanish is required. This is an on-site role and will require the candidate to work on-site daily in the Farmingdale office. Requirements

  • Fluency in both English and Spanish (verbal and written) is required
  • At least 2 years of experience working as a front desk administrator
  • Strong work ethic with a demonstrated ability to be punctual, reliable, and maintain consistent attendance, recognizing the importance of daily front desk coverage and on‑site presence
  • Strong organizational and administrative skills, with the ability to manage multiple tasks and priorities throughout the workday
  • Professional, dependable, and service‑oriented demeanor when interacting by phone and in person
  • Proficiency working with multiple systems, databases, and standard office technology
  • Proven ability to handle sensitive and confidential information with discretion and professionalism
  • Ability to remain at the front desk for a significant portion of the workday while effectively managing administrative and HR‑related tasks

Responsibilities

  • Serve as the primary front‑desk presence, greeting visitors, employees, and job applicants in a professional and welcoming manner
  • Answer, screen, and route incoming calls, emails, and inquiries
  • Support daily office operations including mailroom coordination, supply management, lunch ordering, and general administrative tasks
  • Assist walk‑in job applicants, many of whom are Spanish‑speaking only
  • Provide administrative support to Human Resources, including: Calling applicants and scheduling interviews Coordinating new hire orientations and onboarding logistics Filing, maintaining, and organizing confidential personnel records and documentation
  • Maintain a high level of discretion and confidentiality when handling employee and applicant information
  • Assist with the coordination of on‑site employee programs and services (e.g., flu shot clinics, blood drives, and other company‑sponsored events)
  • Provide logistical and administrative support before, during, and after events
