The Claims Insurance Coordinator supports the Legal and Risk Management Department by managing the day-to-day Auto Liability, General Liability and Workers’ Compensation claims. This role serves as a primary operational liaison between field management, injured workers, guests, insurance carriers, TPAs, and internal legal partners. This role ensures timely reporting, documentation, and compliance with company standards, legal requirements, and best practices. Complex or high-risk matters are escalated to the Senior Risk Manager. ⭐ Position is based in the Orlando Corporate Office: Monday to Thursday in office - Friday remote. ⭐ Bilingual English/Spanish Required

Requirements

  • High school diploma or GED
  • Minimum 2 Years of experience in claims administration, insurance coordination, or risk management.
  • Full professional fluency in Spanish and English (written and verbal)
  • Advanced skill in Microsoft Excel and Outlook, and electronic claim management systems.
  • Strong investigative skills to identify claim inconsistencies and gather missing evidence.
  • Ability to de-escalate sensitive situations with claimants while maintaining professional boundaries.
  • Proven ability to prioritize a high volume of claims, meet deadlines, and maintain file notes.
  • Ability to work independently on routine matters while recognizing when to escalate high-risk or complex issues.
  • Strict adherence to confidentiality standards regarding sensitive medical and legal information.

Responsibilities

  • Support the handling and coordination of assigned Auto, General Liability, and Workers’ Compensation claims, including intake, documentation, investigation, and ongoing communication.
  • Collect and organize accident reports, staff statements, work-related documents, and related records.
  • Support the handling of claims involving property damage, auto and general liability, and third-party bodily injury by coordinating communication and documentation through phone, email, and electronic claim systems.
  • Report claims accurately and timely to insurance carriers and Third-Party Administrators (TPAs).
  • Maintain organized and complete claim files in accordance with company policies and best claims practices.
  • Maintain the Legal Case Matrix and log Letters of Representation.
  • Coordinate with Legal, HR, and Defense Counsel to collect and transmit personnel and claim records.
  • Support alignment of claims handling with litigation procedures, legal timelines, and policy documentation.
  • Maintain daily call logs, light duty/return-to-work tracking, and internal claim status records.
  • Assist with wage statements and state-required Workers’ Compensation forms.
  • Support Certificates of Insurance (COI) tracking and annual distribution.
  • Maintain internal reports and organized electronic claim files
  • Serve as a professional point of contact for injured workers, guests, field leadership, and insurance partners.
  • Provide operational coverage for the Claims Insurance Coordinator during absences.
  • Participate in team meetings, TPA claim reviews, and departmental initiatives.
  • Support Quality Assurance and Field Management teams with claims-related guidance.
  • Initiate follow-ups to support timely claim progression and resolution.
  • Escalate complex, high-risk, or exception-based matters to the Senior Risk Manager.
  • Maintain confidentiality and adhere to professional and ethical standards.
  • Demonstrate accountability, adaptability, and coachability.
