About The Position

The Administrative Assistant provides essential support to the Property Manager in the day-to-day operations of the management office. This role ensures smooth office functionality while delivering exceptional customer service to owners, residents, vendors, and visitors.

Responsibilities

  • Answer and return calls and emails promptly and efficiently throughout the day.
  • Receive and respond to all resident inquiries, directing them appropriately as needed.
  • Create work orders as required and follow up with maintenance to ensure timely completion.
  • Prepare and issue violation letters as needed and monitor for required corrections.
  • Collaborate with maintenance and security teams to process reports and relay information.
  • Process applications and prepare files for resident screenings.
  • Handle Architectural Modification requests and coordinate with contractors.
  • Schedule vendors, maintenance repairs, meetings, and property-related appointments.
  • Maintain accurate filing for unit files, vendor files, and online records/website.
  • Conduct business at all times with the highest standards of personal, professional, and ethical conduct.
  • Perform or assist with any operational tasks required to maintain workflow and meet deadlines.
  • Notify the Property Manager of unusual equipment or operational issues and the need for additional supplies or materials.
  • Participate in meetings and work groups to coordinate activities, discuss issues, secure approvals, solve problems, and stay informed of new developments.
  • Assist with or complete special projects and other tasks as assigned.
