About the position

The Construction Bid Coordinator plays a crucial role in supporting the Estimating Department by managing the bid process. This position requires strong organizational and communication skills, as well as a background in construction, to ensure successful bid submissions and maintain relationships with contractors. The role is integral to the company's commitment to professionalism, integrity, and continuous improvement in project delivery.

Responsibilities

  • Facilitate the bid process, including preparation of required forms for bids and proposals.
  • Monitor timelines and manage bid and proposal dates and subcontractor coordination.
  • Manage approximately 10 - 20 bids and/or opportunities per month.
  • Research bids and proposal opportunities, including future opportunities.
  • Assist with preparation of Statement of Qualifications, coordinating input from various sources.
  • Track and distribute bid documents, including plans, specifications, and addenda.
  • Issue appropriate requests for bids to subcontractors.
  • Apply understanding of bid requirements, including specific applicable government programs.
  • Recruit additional subcontractors to register/bid on projects.
  • Review bids and bidders for appropriate licensing and conformance with bid requirements.
  • Implement document control and communication for the bid team.
  • Maintain good contractor and community relationships.
  • Attend job walks and/or schedule job walk attendees as required.
  • Maintain subcontractor list via SmartBidNet.
  • Maintain bid list, bid files, and records.
  • Distribute bid results and produce organized final bid files for presentation to clients and project teams.
  • Participate in special projects
  • Continual system and process review and improvement

Requirements

  • High school diploma; or equivalent.
  • Proficient in MS Office, Adobe and database management.
  • Excellent oral and written communication skills
  • Be polished and professional in interactions with fellow employees and customers
  • Exercise sound judgment and demonstrate advanced problem-solving ability.
  • Travel is required up to 20% of the time for job site visits
  • Minimum of 3-5 years' experience
  • Prior experience in a preconstruction, bid, or proposal role.
  • Ability to work under pressure of meeting constant deadlines.
  • Ability to multi-task and prioritize tasks effectively.
  • Strong organizational and time management skills.
