About The Position

The Bi-Lingual Administrative Assistant provides essential administrative support to the Plant Manager and the Plant Leadership Team at the Hershey Company’s Hazleton plant. This role involves managing communications, coordinating meetings, and assisting with onboarding and event planning, all while ensuring effective bilingual support for staff and visitors.

Requirements

  • Fluency in both Spanish and English languages is required.
  • Ability to prioritize activities and manage time effectively.
  • Ability to coordinate and plan events.
  • Personal initiative and attention to detail.
  • Excellent communication skills, both written and oral.
  • Ability to be assertive in a professional manner to keep others on task.
  • Proficient in developing Excel spreadsheets, SAP, and PowerPoint presentations.
  • Administrative experience in a professional environment supporting a Leadership Team / Senior level Management is required.
  • Experience supporting a team of leaders in a fast-paced, constantly changing environment is necessary.
  • Proficiency with the MS Office Suite (Outlook, Excel, PowerPoint) is required; proficiency with Teams/SharePoint is preferred.

  • Experience working in/with Manufacturing / Supply Chain is a plus.

Responsibilities

  • Provides general administrative support to the Plant Manager and the Plant Leadership Team.
  • Assists Plant Manager in summarizing reports, developing meeting agendas, and taking meeting notes.
  • Assists all plant staff managers with general admin support and documentation management.
  • Provides bilingual support for plant staff, plant-wide communications, and meetings.
  • Coordinates meetings, including scheduling, developing presentations, and ordering lunches.
  • Assists with salaried employee onboarding and scheduling one-on-one meetings and tours for new hires.
  • Coordinates activities/events for the Hazleton Plant.
  • Responsible for the plant newsletter, including content coordination, development, and distribution.
  • Serves as plant contact and coordinator for visitors, including greeting visitors and sharing compliance information.
  • Tracks and coordinates employee uniforms and locker assignments.
  • Coordinates onsite interviews for salaried positions.
  • Maintains organizational chart for the plant and email distribution lists.
  • Sorts and distributes mail, orders office supplies, and maintains inventory.
  • Responsible for documentation management, including consolidation and organization.
  • Owner of plant general credit card for supply purchases and meeting lunches.
  • Serves as a backup to the vacation scheduling system for hourly employees.
  • Provides support with assigning computer-based training and tracking progress.
  • Handles other projects and duties as assigned.
