Benefits Operations and Service Specialist is essential in managing and supporting the full benefits lifecycle, delivering high-quality service, and providing operational and analytical support to enhance the team member benefits experience. This role combines benefits administration, data management, compliance, and service delivery responsibilities. The Specialist works closely with team members, internal partners, and external vendors to ensure accurate benefits operations, smooth communication, and exceptional support for our team members’ needs.

Requirements

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent work experience.
  • 3-5+ years of experience in benefits administration or a related HR role, with expertise in HRIS systems (especially Workday) and ticketing platforms such as ServiceNow.
  • Strong knowledge of employee benefits programs and relevant regulations, with experience in vendor management.
  • Proficiency in Microsoft Excel for data analysis and reporting, including vlookups and pivot tables.
  • Exceptional communication and interpersonal skills, with a team member-focused approach.
  • Strong organizational and problem-solving abilities, with attention to detail and a proactive mindset.
  • Ability to handle sensitive information with discretion and manage multiple tasks in a fast-paced environment.

Responsibilities

  • Serve as the primary point of contact for team member benefits inquiries via the ServiceNow ticketing system, providing prompt, clear, and accurate responses to questions and concerns.
  • Collaborate with external vendors, carriers, and third-party providers to resolve escalated issues related to claims, eligibility, and service level agreements, optimizing service quality and ensuring timely resolution.
  • Work with internal and external stakeholders to identify trends, provide feedback for benefits improvements, and support department initiatives.
  • Manage the benefits lifecycle, including New Hire onboarding, Open Enrollment, and offboarding processes, ensuring seamless delivery of benefits information and support.
  • Support the administration of health, dental, vision, life insurance, disability, retirement plans, wellness initiatives, and additional reward programs, ensuring data accuracy and regulatory compliance.
  • Maintain up-to-date benefits records within the HRIS (Workday), including benefit elections, dependent details, and coverage changes.
  • Utilize ServiceNow to track, manage, and document all benefits-related inquiries, ensuring thorough documentation of interactions and compliance with Service Level Agreements (SLA).
  • Conduct regular data audits to ensure accuracy in benefits eligibility, enrollment data, and reporting.
  • Ensure compliance with federal, state, and local regulations (e.g., ERISA, ACA, COBRA), assisting with regulatory filings, audits, and preparation of 5500 reports.
  • Stay updated on regulatory changes, providing necessary updates to team members and ensuring compliance in all benefits processes.
  • Identify, recommend, and implement process improvements in benefits administration, enhancing efficiency, reducing errors, and supporting a positive team member experience.
