About The Position

Sage Dental Management is a leading, rapidly growing Dental Service Organization (DSO) committed to innovation, excellence, and patient-centered care. Overview The Benefit and Leave Specialist is responsible for managing and administering all the Company’s employee leave of absences, benefit programs and retirement programs, including medical, dental, vision, life insurance, short- and long-term disability and the 401(k) plan. To be successful in these positions, the benefits specialist must have excellent organizational skills and a solid understanding of various benefits processes.

Requirements

  • Extensive knowledge of employee benefits and applicable laws.
  • Bachelor’s Degree preferred in human resources or related field of study.
  • Minimum 3 years previous experience in Human Resources/ Benefits Administration
  • Excellent organizational and time management skills.
  • Proficient with Microsoft Office Suite or similar software.
  • Strong knowledge in Excel.
  • Strong computer literacy and experience with Paycom software.
  • Excellent interpersonal skills; ability to build professional relationships internally and externally
  • Must be diligent and persistent in follow-up and completion.
  • Ability to work and build partnerships across departments.
  • Works well on a team and collaborates with others but is also able to work independently.
  • Ability to prioritize and manage multiple projects.
  • Ability to overcome barriers and resistance to change.

Responsibilities

  • Manages and administers the full leave lifecycle including intake, eligibility determination, required notices, documentation tracking, and return-to-work coordination; FMLA, ADA, state and local leave laws, and Company leave policies.
  • Engage in interactive dialogue to determine medical accommodation approval
  • Partners with managers regarding employee leave, accommodation, and interactive process requirements.
  • Coordinates leave administration with payroll, disability carriers, and HRIS to ensure accurate pay and benefits continuation
  • Coordinate make-up deductions for leave of absences
  • Ensures employees are informed about the comprehensive array of benefits offered by the Company.
  • Ensures the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information.
  • Provides necessary reports for allocation/billing charges.
  • Verifies the accuracy of monthly employee benefits’ premiums and maintains data to track, verify and analyze employee benefits-related costs.
  • Processing of invoices, reconciliations, and billing of all benefits monthly.
  • Works closely with Payroll, HR team, IT, and HR leadership to ensure accurate and timely processes and changes including position, office, pay and employment termination changes.
  • Performs quality checks of benefits-related data.
  • Assist employees with benefits claims issues and plan changes.
  • Verification of accuracy, administration and distribution of all benefits enrollment materials and eligibility criteria
  • Processes life status changes
  • Serves as the subject matter expert for management and first point of contact for the Company’s employees regarding all employee benefits issues, concerns, and questions.
  • Responds to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes and other general inquiries.
  • Responds to 401(k) inquiries from managers and employees relating to enrollments, plan changes and contribution amounts.
  • Manages the annual catch-up contribution enrollment.
  • Entry of 401(k) deductions and loans, verifying eligibility criteria
  • Conducts, and assists with the open enrollment process, educating employees about benefits offered.
  • Ensure compliance with ERISA, HIPAA, ACA, COBRA and 401(k) Nondiscrimination testing
  • Assist in benefit plan administration in accordance with IRS and ERISA rules.
  • Ensure compliance with governmental agencies and prepare required filings and disclosures. (i.e. form 5500s, SARs, and SPDs)
  • Manages the HSA suspended funds and pending accounts process.
  • Communicates with the Company’s broker to provide benefit census reports.
  • Serves as liaison between third party COBRA administration and employees.
  • Maintains the Workers Compensation claims for the Company.
  • Reviews incident reports, provides guidance to managers reporting incidents, as well as verifying incident reporting from carriers.
  • Operates as liaison between workers compensation carrier and employees.
  • Tracks incidents in offices by occurrence.
  • Provides reporting for workers’ compensation needs such as quarterly wage reports, benefit eligibility tracking through ACA, and enrollment verification.
  • Run and analyze reports as needed.
  • Provides backup to other HR positions as appropriate and needed.
  • Performs additional duties as assigned.
