Position Summary The Corporate Benefits and 401(k) Specialist plays a critical role in the administration of employee benefits programs, including health, dental, vision, life insurance, and retirement plans. This role supports open enrollment, audits, compliance tracking, and employee inquiries, while contributing to data analytics and reporting under the guidance of the Corporate Benefits Manager.

Requirements

  • Associate or bachelor’s degree in human resources, business, or related field preferred but not required.
  • 3+ years of experience in benefits administration, preferably in a mid-to-large organization, supporting all levels of the organization.
  • Experience with a rapidly growing organization.
  • Working knowledge of ADA, ERISA, HIPAA, FMLA, COBRA, and ACA.
  • Proficiency in Excel (pivot tables, VLOOKUPs), HRIS platforms such as Workday, and benefits portals such as MetLife, UHC, UNUM, BCBS, etc.
  • Strong attention to detail and organizational skills.
  • Ability to meet 24-hour service levels and proactively communicate when delays occur.
  • Excellent communication and prompt and courteous customer service abilities.
  • Ability to handle confidential information with discretion
  • Willingness to perform other duties as assigned to support the organization’s rapid growth trajectory.

Responsibilities

  • Benefits Administration & Support Coordinate and execute annual open enrollment processes, including system setup, employee communications, and enrollment tracking.
  • Process benefit enrollments, changes, and terminations in HRIS and vendor systems.
  • Serve as the first point of contact for employee benefit inquiries, resolving issues related to eligibility, claims, and coverage.
  • Assist with onboarding and offboarding benefit tasks, including COBRA notifications and 401(k) enrollment and participant actions.
  • Maintain accurate records of benefit elections and changes.
  • Administer day-to-day operations of the company’s 401(k) plan, including enrollments, deferral changes, funding and loan processing.
  • Support nondiscrimination testing, Form 5500 preparation, and audit documentation.
  • Issue communications through HRIS and US Mail to plan participants Liaise with plan providers and employees to resolve benefits and/or retirement-related questions.
  • Compliance & Audits Assist in preparing data analytics and preparing documentation for internal and external audits to include reporting to Finance and benefits governance committee.
  • Monitor and maintain compliance with ERISA, HIPAA, FMLA, COBRA, ACA, and other applicable regulations.
  • Track and report leave of absence cases and ensure proper documentation and compliance.
  • Data Analytics & Reporting Compile and validate benefits data for monthly, quarterly, and annual reporting.
  • Support the Corporate Benefits Manager in analyzing claims trends, cost drivers, and utilization of metrics.
  • Use intermediate to advanced MS Excel and HRIS tools to generate reports and dashboards.
  • Vendor & System Coordination Coordinate with third-party administrators, insurance carriers, and retirement plan providers with a sense of urgency.
  • Ensure timely and accurate data exchange between internal systems, employees, co-workers and external vendors.
  • Troubleshoot system issues and escalate as needed in a timely manner.
