About The Position

Manage daily operations of the Behavioral Health Center to ensure efficient and compliant practice performance . Directly supervises BHC receptionist Works closely with all members of the Behavioral Health Center team including the clinical manager, receptionist, clinicians, psychiatric nurse practitioner, Family Ark business office staff and any external billing services, if applicable Develop and maintain office policies, procedures, and workflows in alignment with organizational standards Serves as a liaison with payers, including Indiana Medicaid, managed care entities, commercial insurance and DCS (Department of Children’s Services) Verifies all documentation necessary for authorization s is present, accurate and Medicaid compliant Monitors compliance with accreditation standards/DMHA regulations and assists with both internal and external reviews Completes prior authorizations and reviews in a timely manner Maintains EMR upcoming authorizations . Updates electronic medical records with status information . Communicates authorization status promptly with clinicians Ensure compliance with HIPAA, payer requirements, and applicable healthcare regulations Coordinate staff scheduling, onboarding, training, and performance management Oversee authorizations, denials, billing, coding, and collections for Medicaid, DCS, and commercial payers Monitor accounts receivable and resolve billing discrepancies in a timely manner Oversee client intake, scheduling, and therapist calendars to maintain balanced caseloads Address client concerns and ensure high standards of customer service Collaborate with marketing and outreach teams to support referral growth Track operational metrics, prepare reports, and participate in quality improvement initiatives Ensure monthly reports and other necessary documentation for DCS is uploaded Ensures service codes are correct for billing purposes Provides utilization management duties including verification of insurance benefits Effectively prioritizes and coordinates job tasks for maximum productivity Other duties and responsibilities as assigned

Requirements

  • Bachelor’s degree in healthcare administration , business, psychology, or related field
  • 3-5 years of like experience in healthcare o r mental health practice management
  • Experience supervising staff and managing office operations
  • Knowledge of medical billing, insurance processes, and collections
  • Familiarity with EMR and practice management systems
  • Understanding of payor systems and state/federal billing requirements
  • Experience with Medicaid billing
  • Exhibits regular and punctual attendance
  • Computer and word processing skills
  • Must be able to work independently and meet strict deadlines
  • Superior organizational and problem-solving skills
  • Effective verbal and written communicatio n skills
  • Must be able to work with a diverse population
  • Must demonstrate a commitment to quality performance and service excellence as each relates to the agency’s comprehensive quality assurance plan and continuous quality improvement objectives
