About The Position

The BCG X Office Experience Assistant plays a crucial role in enhancing the staff and visitor experience at the Boston Consulting Group's Manhattan office. This position involves a variety of responsibilities, including maintaining the office's cleanliness, coordinating catering for meetings, managing office supplies, and providing support during events. The assistant is also responsible for ensuring that all office spaces are well-organized and equipped, acting as a resource for staff and guests, and supporting the overall functionality of the office environment.

Requirements

  • 1-2 years in an office environment or equivalent work experience.
  • Catering experience preferred.
  • Ability to spend significant time walking and standing.
  • Ability to lift and deliver large packages.
  • Ability to work within a budget.
  • Flexibility to work overtime.
  • Computer literacy required with strong knowledge of Microsoft Word, Excel, and PowerPoint.

Responsibilities

  • Proactively greet and support staff and guests.
  • Direct staff and guests to available open seating/space, ensuring it is adequate and immaculate.
  • Team with reception to reserve and track available shared space.
  • Provide guidance on available space and directions for the office and surrounding neighborhood.
  • Implement concierge service, including catering.
  • Maintain overall appearance of the office by checking conference rooms, communal areas, and workstations throughout the day.
  • Monitor housekeeping for individual and common spaces.
  • Check printers for cleanliness and organization, disposing of confidential material as necessary.
  • Monitor IT equipment in offices and conference rooms, reporting issues as necessary.
  • Support office maintenance and repairs, liaising with the office experience team, building, and vendors.
  • Order catering and set up food and beverages for meetings and events, tracking budgets and invoices.
  • Order and organize office supplies in shared workspaces.
  • Support individual office moves and prepare spaces for new staff members.
  • Maintain office mail supplies and coordinate daily mail/package delivery.
  • Manage essential functions of courier services and order supplies when needed.
  • Maintain office kitchens, replenishing supplies and ensuring cleanliness.
  • Coordinate conference room cleanliness and organization, ensuring adequate supplies are available.
  • Provide primary coverage of the Concierge Desk and backup support to the Office Experience team as necessary.
  • Process and submit expenses on a monthly basis.
