About The Position

The Badge Administrator is responsible for the management, issuance, and tracking of employee and visitor identification badges, including those required for high-security facilities. This role requires strong administrative skills, attention to detail, and proficiency in Microsoft Excel and PDF tools to maintain accurate records and generate reports.

Requirements

  • High School Diploma or equivalent; Associate degree preferred.
  • 2+ years of administrative experience, preferably in a security or facilities role.
  • Must be physically able to stand, walk, sit, crouch, kneel, climb, and periodically lift 25 pounds
  • Proficiency in Microsoft Excel (e.g., data entry, formulas, pivot tables).
  • Proficiency in Adobe Acrobat or other PDF tools (e.g., creating, editing, and securing PDF files).
  • Strong attention to detail and ability to multitask in a fast-paced environment
  • Able to pass a pre-employed drug screen
  • Must be able to obtain and maintain an Arsenal Badge and FBI Badge

Responsibilities

  • Issue, renew, deactivate, and manage identification badges for employees, contractors, and visitors in accordance with company and government policies.
  • Maintain and update badge databases using required information system, ensuring all information is accurate, current, and secure.
  • Direct employees when and where to pick up badges within specific time frames as well as assisting with required paperwork to obtain various badges.
  • Prepare and manage official badge documentation and forms in PDF format and/or Microsoft Excel.
  • Assist with onboarding and offboarding processes as related to badge access
  • Serve as the point of contact for badge-related inquiries and access issues.
  • Coordinate with HR, Security, and IT departments to ensure proper access levels are assigned and updated.
  • Ensure compliance with security protocols for handling sensitive information and access credentials.
  • Follow OSHA safety guidelines
  • Ability to visit and wear PPE on job sites
  • Support audits and inspections by maintaining complete and organized records.
  • Maintain confidentiality and adhere to all privacy and data protection policies.
  • Maintain good relationships with all office and field staff
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to work with sensitive and confidential information.
  • Facilitate the process of obtaining badges for authorized personnel, including coordination with external agencies and submission of required documentation.
  • Represent and promote Grayson Carter and Son in a professional and honest manner
  • Perform other duties as assigned
