The Back Office Medical Assistant plays a crucial role in providing professional clinical care to patients under the supervision of the Back Office Manager. This position involves preparing patients for evaluations by physicians, facilitating necessary procedures, and managing documentation to ensure a smooth workflow in the medical practice. The assistant is expected to demonstrate professional skills and knowledge to enhance patient care effectively.

  • Ensures patients' charts are reviewed and prepared for the current visit.
  • Processes incoming medical records for review.
  • Accomplishes history review with patients.
  • Greets patients and escorts them from the waiting room to exam rooms; prepares patients for exams or treatments according to office protocol.
  • Places charts for physicians when patients are ready in exam rooms.
  • Prepares exam and treatment rooms with necessary instruments.
  • Assists physicians in examinations and minor procedures.
  • Disposes of contaminated items according to OSHA guidelines.
  • Attends annual CPR and OSHA programs.
  • Replenishes supplies, stocks, and cleans exam rooms.
  • Oversees appointment bookings and ensures emergency situations are scheduled appropriately.
  • Maintains timely flow of patients.
  • Performs telephone triage, responds to and refers incoming telephone calls according to office protocol.
  • Performs patient education when appropriate.
  • High school degree required.
  • CMA or equivalent experience preferred.
  • Minimum three years' experience in an ambulatory care setting.
  • Physical ability to satisfactorily perform all direct and indirect patient care functions.
  • Knowledge of examination, diagnostic, and treatment room procedures.
  • Ability to take vital signs (blood pressure, pulse, height, and weight) and perform nursing assessments.
  • Experience with charting and documentation (nurse intake, outtake).
  • Skill in establishing and maintaining effective working relationships with patients, staff, and physicians.
  • Maintain quality control standards.
  • Working knowledge of CPT and ICD-9 coding.
  • Working knowledge of managed care.
  • Computer literate, with keyboard skills.
  • Good communication skills.
  • Neat, professional appearance.
