About The Position

In this role, you will play a critical role for the company and will work alongside other professionals within the team and other departments. You will be responsible for procuring and distributing the parts inventory. This position handles service department parts orders and distribution to shop personnel. In this role the Back Counter Parts & Warranty Coordinator is responsible for managing parts inventory and supporting warrantyadministration to ensure efficient service operations. This role serves as a key liaison between technicians, serviceadvisors, vendors, and manufacturers coordinating parts availability and ensuring warranty claims are processedaccurately and timely. This position plays a critical role in minimizing downtime, maintaining inventory accuracy, andsupporting overall service department productivity.

Requirements

  • HS Diploma or equivalent
  • 1-3 years of experience in parts, service, or warranty administration (automotive or commercial vehicle preferred).
  • Knowledge of automotive or commercial vehicle parts and mechanical systems
  • Understanding of inventory control processes and cycle counts.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office (Excel, Word) and dealership/service systems
  • Ability to manage multiple tasks in a fast-paced environment
  • Basic math skills, including pricing, markups, and percentages.

Nice To Haves

  • Familiarity with warranty processes and manufacturer guidelines is preferred.

Responsibilities

  • Research and source parts from vendors for service and internal repair needs.
  • Issue and manage purchase orders in accordance with company guidelines.
  • Receive, verify, and reconcile incoming parts against packing slips and purchase orders.
  • Maintain accurate inventory levels, including cycle counts and proper labeling of parts.
  • Pull and distribute parts to technicians based on work orders.
  • Transfer parts between warehouse and shop as needed.
  • Manage shop supply inventory and ensure adequate stock levels are maintained.
  • Secure and organize parts and tool inventory.
  • Update and communicate parts status to service advisors and technicians.
  • Process and submit warranty claims in accordance with manufacturer guidelines.
  • Obtain prior approvals and authorizations for warranty repairs
  • Communicate wit manufacturers, vendors, and repair facilities regarding claims and approvals.
  • Review repair orders to ensure accuracy, proper documentation, and compliance with warranty requirements.
  • Initiate warranty work orders and ensure detailed documentation of customer concerns.
  • Track and follow up on warranty claims to ensure timely reimbursement.
  • Coordinate warranty repairs and assist with scheduling as needed.
  • Inform customers of warranty coverage, repair timelines, and any associated costs.
  • Act as a liaison between service, parts, vendors, and manufacturers.
  • Provide updates to management on workflow, inventory issues, and warranty status.
  • Support efficient service department operations by aligning parts availability with repair schedules.
  • Assist with recalls and manufacture programs as required.
  • Ensure compliance with company policies and procedures.
  • Maintain organized and accurate records for parts and warranty documentation.
  • Perform additional duties as assigned.
