About The Position

Position Summary: The Assistant Vice President of Operations supports the leadership team in meeting and exceeding budgets and clinical effectiveness targets. They partner with department leaders to manage Operations, Clinical and Medical Services, Referral Management, Information Technology, and Facilities/Maintenance. The Assistant VP adheres to budgets, monitors staffing hours and overtime, and maintains positive relations with individuals, families, and employees. They manage relationships with regulatory agencies, oversee marketing and occupancy rates, and facilitate interviewing, placement, and training of Care Team Managers. The Assistant VP ensures staff professionalism, implements corrective actions, and assists with compliance responses. They coordinate move-ins, transfers, and discharges, review individual performance, and evaluate service contractors. The Assistant VP monitors meal plans, cleanliness, and individual satisfaction, ensures BSLS activities meet individuals' needs, maintains accurate records, and performs administrative duties. They ensure compliance with laws and regulations, develop systems to monitor operations, and complete assigned duties while adhering to BSLS Core Values, Mission Statement, and Corporate Philosophies.

Requirements

  • Bachelor’s degree in nursing, Behavioral Health, Business Administration, Social Work or a related field required, Master’s degree in related field is preferred.
  • Must be licensed in good standing, if required by the State Licensing Authority.
  • Must be an excellent communicator and able to effectively communicate with employees, individuals served, families, regulatory officials, state hospitals and the general public.
  • A minimum of 5-10 years in an Adult Foster Care, nursing home administrator, or manager of operations position preferred.
  • Must have compassion for and a desire to work with special populations with IDD and chronic illnesses.
  • Previous experience in behavioral health and human services related environments is preferred.
  • Must have experience overseeing multiple communities/homes.
  • Experience with financial reporting and managing multiple budgets.
  • Ongoing approval by Federal, State, and local government entities to work at the company.
  • Demonstrated knowledge of HIPAA, medical management, and care plan record keeping and billing documents.
  • Must possess a valid Driver’s License.
  • Proficient in speaking, reading, and writing the English language.
  • Beacon Specialized Living Services (BSLS) uses a variety of information technology systems including Microsoft Office 365 including Word, Excel, Power Point, Outlook, Teams, and OneDrive. You will be responsible for learning and becoming proficient with these IT systems and others that BSLS may deploy or change in the future.

Responsibilities

  • Ensure company goals are met, including budget and clinical effectiveness targets.
  • Consistently apply and deploy BSLS policies, procedures, and care practices.
  • Assist the leadership team in meeting/exceeding budgets and clinical effectiveness targets.
  • Adhere to budgets, monitor staffing hours and overtime to prevent staffing crises.
  • Maintain positive relations with individuals, families, and employees by promptly addressing their needs, requests, concerns, and suggestions.
  • Cooperates with Beacon Specialized Living, the Department of Human Services (DHS) staff or any other regulatory body during any inspection, investigation or inquiry.
  • Manage state and local relationships with regulatory & referral agencies to BSLS.
  • Oversee marketing, prospective individual support, follow-up, and occupancy rates.
  • Facilitate interviewing, placement, and training of direct reports and Care Team Managers.
  • Develop and implement a succession plan for direct reports and Care Team Manager positions.
  • Engage subordinates in problem-solving and achieving positive outcomes.
  • Ensure staff professionalism, including uniform (where applicable), badge, language, and appearance, and promote Beacon Pride.
  • Implement fair and timely corrective actions, performance improvement, and training.
  • Assist the compliance department with responses, correspondence, and corrective action plans (CAPs) for investigations and inspections.
  • Coordinate individual move-ins, transfers, and discharges as needed.
  • Review of individual performance under BSLS contracts.
  • Contract and evaluate service contractors for needed services.
  • Develop systems for individual suitability and placement based on mental and physical conditions.
  • Monitor physician-directed meal plans, kitchen sanitation, meal quality, cleanliness, and individual satisfaction.
  • Ensure BSLS activities and programs enrich individuals' social, emotional, mental, and physical needs.
  • Ensure records are secured, confidential, up to date, and accurate for individuals and employees.
  • Ensure work injury reports are entered timely and accurately and enter if needed.
  • Perform administrative duties, including month-end reports.
  • Ensure compliance with state and federal laws, regulations, and company rules.
  • Develop systems to monitor operations, including occupancy rates, income/expenses, inventories, satisfaction, and meetings.
  • Ensure timely, professionally written documentation and billing.
  • Complete assigned duties, adapting to changing needs and company strategy.
  • Adhere to BSLS Core Values, Mission Statement, and Corporate Philosophies.
  • Support the Care Team Manager and Program Director in all areas to achieve 5 diamond status. This includes monthly visits to any home with a 3 diamond or lower rating documenting efforts toward improvement.
