About The Position

The Aviation Scheduler at PACCAR Inc. is responsible for managing the scheduling and logistics of the company's flight operations. This role involves coordinating aircraft bookings, ensuring compliance with flight regulations, and arranging travel for crew members. The position requires strong organizational skills and the ability to work under pressure while maintaining a professional demeanor. The scheduler will also handle post-flight documentation and support the department's accounting functions as needed.

Requirements

  • 2+ years of aviation scheduling experience required.
  • Strong interpersonal skills and excellent verbal and written communication ability.
  • Ability to maintain a professional attitude while working under deadlines.
  • Excellent PC skills (Excel, Word, Outlook, and internet).
  • Highly developed organizational and planning skills, detail-oriented.
  • Demonstrated ability to work with highly confidential information.
  • Ability to interact with senior executives and officials inside and outside the company.
  • Ability to respond during evenings, weekends, holidays, and be available on-call when required.
  • Knowledge of aviation terminology and experience with flight scheduling software.
  • Proficiency with PFM and Flightbridge scheduling software preferred.
  • Accounting experience preferred.
  • Ability to pass TSA and Port of Seattle background screening for ID badge.
  • Valid passport and driver's license.

  • Dispatcher certificate a plus.

Responsibilities

  • Add and modify aircraft reservations.
  • Manage CEO approval process for all trips.
  • Reply to aircraft availability, airport, and flight scheduling inquiries.
  • Ensure trips are scheduled in compliance with crew duty and flight time limitations.
  • Notify FBOs; arrange ground handling, fuel, and catering.
  • Book hotels and rental cars for crew arrangements.
  • Prepare Trip Packets for crews.
  • Coordinate crew and maintenance schedules.
  • Obtain required aircraft and crew permits/visas for international travel.
  • Provide flight tracking details for appropriate company personnel and ground transportation support.
  • Maintain flight and crew duty records post-flight.
  • Back up department Accountant duties during absences.
  • Coordinate thorough scheduling duties handoff prior to absences.
  • Manage and pay invoices for international fees.
  • Manage aircraft document renewals for registration, insurance, landing permits, Customs decals, CANPASS program, etc.
  • Monitor main gate for visitors and deliveries.
  • Conduct building security checks when last to leave the hangar.
  • Attend NBAA, PNBAA, PFM conferences to incorporate industry best practices.
