About The Position

As an Aviation Coordinator for Disney Aviation Group, you will provide hands‑on administrative and coordination support while working in an active airport environment . This position is on‑site at the Burbank Airport five days per week and supports the daily administrative needs of the Aviation leadership team and operation. This role is best suited for an early‑career or entry‑level administrative professional who is comfortable working in a non‑traditional office setting. While the position interfaces with aviation operations, the responsibilities are primarily administrative and task‑oriented , supporting day‑to‑day needs rather than managing complex executive calendars or projects.

Requirements

  • 2+ years of experience in an administrative, office support, or coordinator role .
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills and attention to detail.
  • Professional communication style and customer‑service mindset.
  • Ability to handle confidential information with discretion.
  • Comfortable supporting a self‑sufficient leader and team with day‑to‑day administrative needs.
  • Ability to work on‑site at the Burbank Airport five days per week .
  • Valid driver’s license and reliable attendance.
  • Comfortable performing hands‑on, task‑based administrative work.

Nice To Haves

  • Familiarity with SAP, Concur, or similar expense and invoicing systems.
  • Prior experience working in an operational, facilities, logistics, or non‑traditional office environment.
  • Exposure to access control, visitor coordination, or compliance‑oriented settings.
  • Interest in learning aviation‑related processes from an administrative support perspective .
  • Flexibility to occasionally adjust hours based on operational needs.

Responsibilities

  • Provide general administrative support to Aviation leadership and the broader team.
  • Support scheduling needs, meeting setup, and conference room preparation .
  • Assist with day‑to‑day on‑site tasks , including running errands and supporting operational needs.
  • Support arrivals and departures from an administrative and coordination perspective.
  • Answer, screen, and direct incoming telephone calls.
  • Create and edit basic documents and presentations using Microsoft Office, including PowerPoint.
  • Process expense reports and submissions using Concur.
  • Enter, track, and follow up on invoices using SAP to ensure timely processing and payment.
  • Coordinate with vendors and follow up on service delivery from an administrative standpoint.
  • Act as Department Supply Officer, ordering office supplies, retail items, artwork, and other materials.
  • Administer the department’s record retention program.
  • Coordinate airport badge renewals and access needs for required personnel.
  • Support basic audio‑visual coordination and meeting setup.
  • Assist with facility‑related requests and coordination as needed.
  • Maintain department contact lists and documentation.
  • Organize team meetings, department lunches, and small gatherings; prepare and distribute meeting notes as needed.
  • Serve as a professional and courteous point of contact for visitors, airport partners, and vendors.
