About The Position

The Automotive Warranty Administrator is responsible for the accurate and timely processing of warranty claims related to vehicle repairs, parts, and services. This role involves interaction with manufacturers, dealerships, service departments, and customers to ensure proper application and processing of warranty coverage in accordance with company and manufacturer policies.

Requirements

  • 2-3 years of experience in automotive service or warranty administration, preferably within a dealership or automotive service department.
  • Strong understanding of automotive systems, parts, and warranty procedures.
  • Excellent verbal and written communication skills, with the ability to communicate complex information clearly to customers and manufacturers.
  • Strong attention to detail to ensure accurate processing of claims and compliance with guidelines.
  • Ability to handle multiple warranty claims simultaneously while meeting deadlines.
  • Proficient in using automotive dealership management systems (DMS) and Microsoft Office Suite (Excel, Word, etc.).
  • Strong analytical skills to resolve issues related to claims denials or disputes.

Nice To Haves

  • Familiarity with manufacturer warranty guidelines is a plus.
  • An associate degree in business administration, automotive technology, or a related field is preferred.
  • Warranty certification or other relevant training may be beneficial.

Responsibilities

  • Submit and manage warranty claims to manufacturers or third-party warranty providers.
  • Ensure that all claims are submitted within the appropriate timeframe and in compliance with warranty policies.
  • Gather required documentation (e.g., repair orders, parts records) to substantiate warranty claims.
  • Review warranty claims for accuracy, ensuring that they meet the eligibility requirements outlined by the manufacturer.
  • Verify that repair work and parts used meet warranty guidelines.
  • Maintain accurate records of warranty claims, approvals, and denials for auditing purposes.
  • Serve as a point of contact for customers regarding the status of their warranty claims.
  • Communicate warranty coverage details to customers, ensuring transparency and clarity on what is covered.
  • Handle any questions or disputes that arise during the warranty claims process.
  • Track and document all parts and labor related to warranty claims.
  • Ensure that all warranty work performed is correctly billed, and that parts used meet manufacturer specifications.
  • Liaise with manufacturers or third-party providers to ensure that warranty claims are processed quickly and efficiently.
  • Address claim rejections by following up with necessary parties to resolve issues.
  • Ensure all warranty procedures comply with company policies and manufacturer requirements.
  • Prepare and maintain warranty reports, summaries, and analysis for management review.
  • Track and report on warranty costs, ensuring that all warranty claims are processed within budget.
  • Stay informed on the latest warranty policies and procedures from manufacturers.
  • Provide training or guidance to service department staff about warranty guidelines and best practices.
  • Investigate rejected warranty claims, identifying reasons for denial, and take corrective actions when necessary.
  • Manage and resolve any discrepancies between service records and warranty coverage.
