About The Position

Las Vegas Motorsports Park, LLC dba Speed Vegas is seeking a skilled and motivated Automotive Shop Office Assistant to provide support to shop operations. This position will be the heart of our shop operations, providing support to the shop team's operations. The ideal candidate approaches all tasks, big or small, with professionalism and a positive attitude, acting as the main point of contact between management, staff, and external partners. This position offers a generous base salary in addition to industry-leading benefits. Previous automotive dealership office manager experience is required. Requirements

  • Knowledge of managing a shop environment, including scheduling, resource allocation, and vendor coordination
  • Proficiency in Fleetio or similar platforms for work order management and vehicle tracking
  • Familiarity with OSHA standards, ASE certifications, and workplace safety best practices
  • Knowledge of providing high-quality service and fostering professional relationships
  • Proven ability to lead and motivate a team of high-performing personnel
  • Strong communication and coordination skills to manage shop operations effectively
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), Smartsheet, and Fleetio for operational planning and reporting
  • Strong time management and organizational skills
  • Commitment to maintaining high safety standards
  • Strong attention to detail in diagnosing issues to maintain operational standards
  • Ability to lift 50 pounds and work in various environmental conditions
  • Strong energy and adaptability to meet the demands of a fast-paced work environment
  • High-level analytical and critical thinking skills
  • Ability to work both independently and as part of a team
  • Ability to perform physical activities such as lifting, climbing, walking, and stooping

Responsibilities

  • Operational Leadership: Assist the Director of Automotive Fleet and Shop Operations manage daily staff scheduling
  • Assist with Fleetio and Accounting support
  • Act as a liaison between the shop team, directors, and other departments to ensure clear communication and alignment on priorities.
  • Support and maintain shop processes and SOP’s
  • Monitor repairs and maintenance data to flag outlier repairs or abnormal spend before escalation
  • Monitor and track supercar market (listings, prices, mileage, time-on-market, and price change(s) to identify buying and selling opportunities, assess market trends, and support vehicle acquisition and resale decisions
  • Administrative Management: Maintain accurate records in Fleetio, including work orders, vehicle history, and parts inventory
  • DMV/Title support
  • Oil sampling coordination and preventative maintenance follow up
  • Logistics and errands assistance, including parts drop-offs and pickups when needed
  • Coordinate with vendors and contractors to ensure timely delivery of parts and services
  • Parts and consumables monitoring
  • Vendor/Dealer coordination
  • Support human resources with onboarding, training documentation, and performance evaluations for shop employees
  • Ensure work orders, invoices, and maintenance records are complete and finance ready
  • Safety and Compliance: Ensure shop operations comply with OSHA standards, workplace safety protocols, and company policies
  • Promote a culture of safety, ensuring proper use of PPE and adherence to hazard identification procedures
  • Customer and Vendor Relations: Act as a professional representative of SpeedVegas in interactions with third-party vendors, contractors, and customers
  • Ensure high-quality service that meets customer needs and expectations
  • Continuous Improvement: Develop and implement standard operating procedures (SOPs) to improve shop efficiency and workflow
  • Identify opportunities for improvement in processes, equipment, and staff training
