About The Position

The Automotive Service Assistant supports the daily operations of the service department by assisting technicians, service advisors, and management with administrative, customer service, and shop‑floor tasks. This role helps ensure efficient workflow, accurate documentation, and excellent customer experience.

Requirements

  • High school diploma or equivalent.
  • Valid driver’s license with a clean driving record.
  • Ability to lift up to 40 lbs and stand/walk for extended periods.
  • Basic computer skills (ability to learn shop software).
  • Good communication and customer service skills.
  • Ability to work in a fast-paced environment and multitask effectively.

Nice To Haves

  • Experience in an automotive service shop or dealership setting.
  • Basic understanding of automotive systems, terms, and maintenance services.
  • Familiarity with repair order systems.
  • Bilingual skills (English/Spanish) are a plus for many shops.

Responsibilities

  • Greet customers and assist with check-in/check-out processes.
  • Answer phone calls, schedule appointments, and provide basic service information.
  • Maintain customer records and update vehicle service histories.
  • Prepare repair orders, estimates, and invoices for service advisors.
  • Organize digital and paper files, including work orders, parts receipts, and inspection forms.
  • Assist with ordering, tracking, and organizing vehicle parts and shop supplies.
  • Move vehicles in and out of service bays as needed.
  • Keep the shop area clean, safe, and organized (sweeping, trash removal, tool organization).
  • Support technicians by retrieving parts, delivering tools, or performing simple non-mechanical tasks.
  • Monitor inventory levels for fluids, filters, and common shop materials.
  • Follow all safety protocols and maintain compliance with shop policies.
  • Help maintain a positive, professional, and customer-focused shop environment.
  • Assist with any other tasks assigned by the Service Manager or Lead Technician.
