About The Position

The Attorney Recruiting Assistant plays a vital role in supporting the Attorney Recruiting team at Skadden, Arps, Slate, Meagher & Flom LLP. This position involves providing administrative and secretarial support, ensuring smooth operations within the department, and contributing to the recruitment and onboarding processes for attorneys and summer associates. The role requires effective communication skills and the ability to manage multiple tasks in a fast-paced environment.

Requirements

  • High school diploma or equivalent.
  • Minimum of one year of administrative or secretarial experience.
  • Knowledge of relevant firm computer software programs (e.g., Outlook, Word, Excel) with the ability to learn new software and operating systems.
  • Demonstrates close attention to detail.
  • Ability to handle multiple projects and shifting priorities.
  • Ability to work well independently as well as effectively within a team.
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs.

Responsibilities

  • Provide administrative support including telephone and receptionist services, logistical arrangements for meetings, maintaining calendars, and distribution of department mail.
  • Prepare correspondence, documents, reports, and spreadsheets.
  • Maintain department files, central index of recruitment files, records, calendars, and time records.
  • Process invoices, check requests, and expense reports by confirming accuracy and ensuring supporting documentation is attached.
  • Coordinate conference rooms including logistics for food and room set-up.
  • Compile documents for Hiring Committee meetings, prepare agenda, and coordinate logistics for meetings on a weekly basis.
  • Assist with planning summer associate and attorney events.
  • Track RSVPs and create name badges for events.
  • Assist with the arrival, departure, and orientation of attorneys and summer associates, including processing moving expenses and office tours.
  • Assist with administrative duties for fall hiring season including data entry and scheduling.
  • Support the DC Office diversity, equity, and inclusion efforts.
