Title: Attendance & Outreach Clerk Qualifications: High School diploma. Excellent communication and organizational skills, plus the ability to interact with the public in a professional and courteous manner. Ability to maintain confidentiality regarding all WWPS business including students, families and employees. Demonstrated proficiency in the use of Microsoft Word, Excel, and Google (email and docs). Demonstrated ability in regards to office practices and procedures, as well as the use and operation of basic office machines. Demonstrated ability to work in a computerized environment. Must be able to perform work in an organized manner, prioritize work and be self-motivated. Bilingual (Spanish Speaking) Preferred. Typing test required. Mathematical, writing and excel skills will be tested. Reports to: Director of Financial Operations Essential Job Functions: Maintain Absence and Substitute (A&S) data base. Daily review and follow up of all staff absences to ensure proper processing and approvals. Prepare a weekly report of all unapproved staff absences to be submitted to the Director of Financial Operations and Superintendent. Assist schools and departments in setting up staff absences and vacancies as needed. Setup and maintain all building substitutes in the A&S system as needed. Export and import of reports within A&S. Communicate with schools and departments in order to maintain accuracy in the A&S system. Conduct outreach to families to promote the importance of the income verification form. Process family income verifications and suggest new outreach strategies. Assist in the processing and reporting of all food service activities. Monitoring school sites for compliance to food service requirements. Maintain open lines of communications with families, building front office staff, food service director and staff as well as the Rhode Island Department of Education. Assist food service Company with various data entry of nutrition information, as needed. Performs other duties as assigned by the Director of Financial Operations. Hours of Work: Full time school year hourly employee (191 days), 37.5 hours per week.
