About The Position

A.T. Still University (ATSU) is seeking a non-exempt Administrative Support for Enrollment Services on the Kirksville, Missouri campus. This role serves as the first level of support for students, faculty, and staff, addressing inquiries and providing assistance to various administrative leaders within the Enrollment Services department. The position involves managing a high volume of communications and processing various forms and requests related to student records and enrollment verification.

Requirements

  • High school diploma required.
  • Written and oral communication skills.
  • Prior customer service skills and demonstrated written and grammatical skills.
  • 1-2 years experience working in customer service-oriented and/or office environment.
  • Prior experience with tasks requiring organization, tracking, and decision making.
  • Proficient computer skills, using Google Suite products and Excel.

Responsibilities

  • Answer the primary Enrollment Services phone with an annual call volume of over 8,000, averaging as high as 1,300/month during peak processing season.
  • Greet visitors and answer questions.
  • Manage the main office email account with an annual volume of 20,000 emails, averaging 1,700/month.
  • Process transcripts, with an annual volume of 3,500, averaging 300/month and reaching over 500/month in peak processing season.
  • Process licensure forms for all ATSU graduates throughout their careers.
  • Complete general forms, enrollment and degree verifications, and loan deferment forms for all students, past and present.
  • Scan and link documents to student records.
  • Pick up and deliver mail.
  • Process, order, and stock supplies.
  • Submit purchase orders.
  • Follow up with students on missing information.
  • Maintain monthly transcript statistics.
  • Process enrollment verification paperwork for account creation for current students for the National Board of Medical Education (NBME).
  • Assist with academic files for permanent storage.
  • Retrieve academic records and respond to requests for data by generating reports.
  • Process student name changes and Family Educational Rights and Privacy Act (FERPA) restrictions requests.
  • Run reports from the student information system (SIS) as requested.
  • Assist with online ticket system requests for assigned categories.
  • Process enrollment verification forms for the Health Professions Scholarship Program (HPSP).
  • Process verification requests through the online Federation Credentials Verification Service (FSMB) portal.
  • Process credit card transactions for duplicate diplomas, rush verifications, and transcript payments as needed.
  • Maintain awareness of U.S. Department of Education compliance regulations for higher education.
  • Maintain awareness of ATSU internal policies and Enrollment Services Policies & Procedures Manual.
  • Engage in ongoing training and development in relevant areas.
  • Conduct special projects/research as assigned.
