About the position

As part of the Integrated Facility Management (IFSM) team, the Assistant Facility Manager (AFM) will assist the Facility Manager in the delivery of services to operate and maintain the property including customer/client services, financial management, facility maintenance, procurement, and supplier management. Develop client relationships with key representatives in supporting client's goals and objectives.

Responsibilities

  • Promote a high level of satisfaction among client by promptly responding to their service needs.
  • Coordinate and schedule service activities at assigned client location(s).
  • Acts as an interface with the client. Acts collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation.
  • Demonstrate leadership, responsiveness, and creativity in finding solutions for service delivery.
  • Oversee vendors for mechanical, electrical, plumbing, carpentry, critical systems, HVAC, generator, and others defined within the portfolio of respective sites.
  • Accountable for the accuracy and timely updates to all systems data utilized for the account processes, procedures, and metrics.
  • Support development and adherence to communication protocols by account and client standards.
  • Hands-on management of all service deliverables both internal to JLL and by sub-contractors.
  • Hands-on management of Work Order System and Work Order Management.
  • Initiate service requests as needed to support Client requests/needs.
  • Monitor WOs dispatched to suppliers to ensure compliance with SLAs and WO Management.
  • Review and approve all vendor invoices, follow up on invoices where discrepancies are identified, and close out invoices.
  • Proactively partner with key vendors. Effectively implement vendor management best practices.
  • Communicate Safety, KPI and SLA requirements to vendors in a timely way.
  • Engage vendors in the identification of service delivery improvement and savings identification.
  • Meet or Exceed Site KPIs; Monitor SLAs monthly to identify potential off-track areas and plan corrective actions accordingly.
  • Partner with strategic sourcing to effectively manage vendor relationships.
  • Read and fully understand the requirements set forth in the Master Services Agreement.
  • Develop strategic improvement plans leveraging industry best practices.
  • Complete all client and JLL required training.
  • Engage in a culture of continuous improvement and innovation by leveraging business intelligence, adopting and participating in the development of best practices, new tools, process re-engineering and other ideas that provide service delivery efficiencies.

Requirements

  • Bachelor's degree or equivalent work experience.
  • Proven track record of excellent internal and external customer service.
  • Exhibits strong interpersonal skills and problem-solving ability.
  • Excellent verbal and written communication skills with the ability to communicate professionally.
  • High degree of innovation with the ability to work with minimal supervision in a fast-paced environment.
  • Supervise vendor performance during normal and off-hours including weekends when necessary.
  • Strategic user of business intelligence, data, reporting & analytics to drive efficiency.
  • Experience working within CMMS/Work Order systems, Corrigo preferred.
  • Proficient skills in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
  • Strong proficiency with Microsoft Office Suite including Outlook, Word, PowerPoint & Excel, and SharePoint.
  • Proficient in the use of Corrigo and other CMMS software.
  • Familiarity with HVAC and other building mechanical systems.
  • Strong organizational and analytical skills, problem-solving ability, and attention to detail.
  • Demonstrate the highest professional standards of behavior and follow the JLL Code of Ethics policy.
