About The Position

The Assistant Business Manager assists in managing all accounting functions including establishing and maintaining accounting procedures, reporting fiscal methods and procedures for payment of invoices and other related activities. Additional support service functions may include payroll, purchasing, communications, inventory, assets, information technology, and insurance. The Assistant Business Manager analyzes and monitors the annual budget for the assigned facility and advises management of budget status. They monitor contractual staffing plans and overtime, coordinating with the Director of Business Management to assist in achieving monthly budget throughout the year. The role involves preparing, researching, compiling, and analyzing financial data for the preparation of budget reports, lists, and miscellaneous management requests. The Assistant Business Manager reports the facility’s finances to management and offers suggestions about resource utilization, tax strategies, and assumptions underlying budget forecasts. They also direct the work of other employees, including selection, hiring, evaluating performance, employee training/development, promoting, and any disciplinary action, including termination. Other responsibilities include monitoring the maintenance of recording and control procedures involving the collection, evaluation, processing, preparation, submission, and reconciliation of accounts, preparing and approving billing documents, reviewing and approving all financial and accounting records, maintaining records for the operations fixed assets, and performing payroll audits and verifications.

Requirements

  • Bachelor's degree in Accounting or related field.
  • Minimum of three (3) years of work experience in a finance-related role, or an equivalent combination of work experience and education required.
  • Exhibit leadership qualities to gain the respect of all employees.
  • Ability and desire to work in a cooperative manner and to make management decisions.
  • Ability to work with computers and necessary software typically used by the department.

Responsibilities

  • Analyze and monitor the annual budget for the assigned facility.
  • Advise management of budget status.
  • Monitor contractual staffing plans and overtime.
  • Coordinate with the Director of Business Management to assist in achieving monthly budget throughout the year.
  • Prepare, research, compile, and analyze financial data for budget reports and management requests.
  • Report facility’s finances to management and offer suggestions about resource utilization and tax strategies.
  • Direct the work of other employees including selection, hiring, and performance evaluation.
  • Monitor maintenance of recording and control procedures for accounts.
  • Prepare and approve billing documents and submit invoices for payment.
  • Review and approve all financial and accounting records and transactions.
  • Maintain records for operations fixed assets.
  • Provide for receiving, storing, and accountability of office supplies and equipment.
  • Review and monitor vehicle repairs and expenses.
  • Maintain client’s GeoTrack billing and review mission reports.
  • Monitor WorkForce Management to manage employee labor.
  • Perform payroll audits and verifications.
  • Coordinate vehicle maintenance, licensure, and tags with transportation supervisors.
  • Maintain Accounts Payable through accounting systems and reconcile monthly reports.
  • Perform other duties as assigned.
