About The Position

The Associate Registrar at Black Hawk College plays a crucial role in coordinating academic record keeping and Enrollment Services functions. Requirements

  • Bachelor's degree required.
  • Minimum of three years' experience in admissions, records, or office management required; Enrollment Services experience preferred.
  • Intermediate ability in Microsoft Word, Outlook, and Excel.
  • Experience with Banner or another Student ERP preferred.
  • Excellent communication and customer service skills required.
  • Attention to detail required.
  • Ability to maintain confidentiality required.
  • Ability to analyze problems, think critically, meet deadlines, and multi-task required.
  • Ability to adapt to change required.
  • Ability to work with minimal supervision.

Responsibilities

  • Serve as Associate Chief Records Officer for the College, administering services related to student records.
  • Maintain memberships in organizations like AACRAO and IACRAO for training on federal and state guidelines.
  • Manage updates of student records, including final grades and course substitutions.
  • Oversee transcript evaluation procedures and process military transcripts and non-traditional tests for credit.
  • Communicate with students and academic departments regarding transfer credit.
  • Perform graduation degree audits for all academic programs.
  • Manage communications regarding graduation awards and deficiencies, including diploma printing and mailing.
  • Coordinate commencement planning for the Quad Cities campus and support East Campus commencement as needed.
  • Assist the Registrar in ensuring compliance with US Department of Education and Illinois Community College Board standards.
  • Help maintain Enrollment Services web pages, calendars, and academic catalog.
  • Assist in developing and implementing Enrollment Services processes and policies.
  • Administer FERPA compliance procedures and lead FERPA training for college employees.
  • Guide college software development to support student records and registrar functions.
  • Update departmental SOP documents and create new ones as necessary.
