About The Position

The Associate Property Manager is primarily responsible for the day-to-day operations of the assigned portfolio in accordance with the goals and objectives of the individual property owners and the mission of Kidder Mathews Asset Services Division. In addition, the Associate Property Manager will provide the leadership necessary to meet all property operational requirements, including timely response to and resolution of any tenant or owner requests or concerns.

  • Bachelor’s Degree or a combination of education and experience; Real Estate License required
  • Strong knowledge of Property/Facilities Management processes and procedures
  • 3+ years Commercial Property/Facilities Management experience

Responsibilities

  • Responds to and resolves tenant concerns; meets with tenants as required to ensure that tenant needs are met, and that high quality property management service is achieved
  • Performs weekly and/or monthly physical property inspections; partner with contractors/building engineers to follow through on any needed repairs or maintenance
  • Prepare vendor contracts for Manager(s) review and approval
  • Interface with property vendors and contractors to ensure prompt response to maintenance issues
  • Ensure on-going contracted vendor services are performed on schedule and on budget ensuring services meet contract specifications
  • Review contract specifications and make recommendations to owner and/or Sr. Property Manager, as appropriate, for necessary changes or updates
  • Prepares bid specifications based on needs of property
  • Request/review/recommend bids for contracted services
  • Generate Master Service Contracts, as appropriate
  • Ensure budgeted maintenance and repairs are performed on schedule
  • Partner with Building Engineers or contracted maintenance vendors to schedule repairs and work orders
  • Act as Property Manager in absence of Property Manager as needed
  • As assigned by Manager(s), prepare and/or review annual CAM reconciliations; report findings/recommendations to Manager(s)
  • Prepare and/or assist Manager(s) with annual budgeting process including re-bid of service contracts
  • Prepare monthly operating statements and draft monthly owner operating reports and narrative for final review and approval by Manager(s)
  • Partner with leasing team members to ensure all vacant space is in “market ready” condition based on individual client requirements
  • Schedules “clean & show” work for vacant space
  • Review new leases and prepare lease abstracts
  • As directed by leasing team, show space to prospective tenants
  • Maintain courteous, professional, service oriented rapport with tenants and owners
  • Promote and foster confident, comfortable relationships with tenants and owners
  • Supervise tenant move in and move out process and conduct move in and move out walk throughs with tenant
  • Conduct new tenant orientation
  • Make collection calls to delinquent tenants
  • Attend construction meetings; take meeting minutes and distribute to construction team
  • Conduct walk throughs, as needed, with Construction Manager, General Contractor and tenant during construction process
  • Manage communication flow with tenants and/or neighbors impacted by construction
  • Maintain construction file
  • Perform other duties or projects as requested or required
