The Role: TIME is seeking an Associate Programming Producer to join its fast-growing global events team, which produces the TIME100 Summit and Gala in New York, the Women of the Year Leadership Forum and Gala in Los Angeles, the TIME100 Next Gala, the TIME100 Impact Awards, as well as events at the World Economic Forum, the U.N. Climate Change Conference, and more. The Associate Programming Producer will report to the Senior Programming Producers and work directly with the current Associate Programming Producer, as well as the Event Production and Audience Development teams and other colleagues across departments—including the wider editorial, video, sales, marketing, and business teams—to bring these highly visible, deeply collaborative projects to life.

Requirements

  • 4+ years of relevant experience in event or television programming
  • Excellent oral and written communication skills
  • Ability to thrive in fast-paced, highly-collaborative environments
  • Strong interest in and/or familiarity with TIME’s editorial mission, journalism, and global events.
  • Strong editorial and news judgment, and demonstrated interest in current events
  • Ability to confidently and professionally interface with high-profile speakers, talent, executives, and partners.
  • Proven ability to exercise exceptional judgment and discretion in confidential situations.
  • Highly organized with the ability to manage multiple workstreams simultaneously, track details, to ensure deadlines are met.
  • Comfort working cross-functionally with internal teams (editorial, production, business, marketing) as well as external vendors, agencies, and speaker representatives.
  • Ability and willingness to travel to event locations both domestically and internationally
  • Be available on-site for the full duration of event days to support execution.
  • Enthusiastic about innovation, positive-change and collaboration.

Nice To Haves

  • Proficiency with Google Workspace and basic production workflows is a plus.

Responsibilities

  • Establish programming timelines with Senior Programming Producers and Customer Success team and ensure timelines are being adhered to
  • Support Senior Programming Producers with speaker management and logistics. Responsibilities include arranging transportation and car bookings, preparing speaker facesheets, and managing administrative processes such as requesting, submitting, and reconciling invoices. This role also maintains and updates all programming team tracking documents to ensure accuracy and alignment.
  • Complete programming-related slides for all Executive Event Briefs
  • Oversee the ordering, inventory management, and organization of event supplies for each event, and ensure all necessary materials are transported and available on-site.
  • Create templates for speaker and moderator briefings in coordination with Programming Producers
  • Help build out and manage TIME’s event programming database, compiling and updating records with emerging industry trends so they remain current
  • Work with the design team and Senior Programming Producers to coordinate the creation of all social media and screen assets for each event
  • Research and pitch speakers from every industry and across the world to feature in TIME’s event programming
  • Source relevant photos, video clips, and other digital assets to inform interviews and panel discussions
  • Work with Senior Programming Producers on sponsor-related programming
