About the position

The Associate Payroll Specialist at Heartland is responsible for managing a base of payroll clients, providing exceptional customer service, and ensuring timely processing of payroll data. This role involves collaborating with various departments to maintain positive client relationships and support compliance initiatives, while also learning to troubleshoot payroll-related issues.

Responsibilities

  • Maintains an assigned base of payroll clients with various pay frequencies.
  • Provides client customer support by being in the phone queue.
  • Manages team member's client base when necessary.
  • Provides exceptional customer service support and resolves client issues and concerns timely.
  • Effectively manages critical relationships to improve client retention.
  • Describes various reports and products available via software to clients.
  • Collaborates with other divisions/departments to convey relevant information to clients.
  • Establishes and maintains positive working relationships with clients.
  • Proficiently de-escalates client situations and identifies when Payroll Supervisor engagement is necessary.
  • Learns to troubleshoot and problem solve payroll situations.
  • Maintains a working knowledge of Payroll Software.
  • Interacts with clients to obtain payroll data via telephone, fax, and/or e-mail.
  • Accurately keys all payroll-related data necessary to process client payrolls timely by deadline.
  • Facilitates collaboration with all departments for seamless processing.
  • Attends training classes for new hire training and ongoing payroll training.
  • Utilizes WIKI library and related resources for support.
  • Performs other administrative and clerical tasks as assigned.

Requirements

  • Strong customer service skills and ability to resolve client issues.
  • Ability to manage multiple client accounts effectively.
  • Proficient in using payroll software and related tools.
  • Excellent communication skills, both verbal and written.
  • Ability to work collaboratively as part of a team.
  • Strong attention to detail and accuracy in data entry.
  • Ability to learn and adapt to new processes and systems.

Nice-to-haves

  • Experience in payroll processing or related field.
  • Familiarity with compliance regulations in payroll.
  • Knowledge of ancillary product setup.
