Requirements

  • High School Graduate.
  • Trained in Medical Office protocol.
  • At least one year of experience in a Medical Office setting with a working knowledge of Medical terminology.
  • Prior experience with scheduling desired.
  • Previous experience with multiple phone lines and routine front office equipment.
  • Above average computer skills needed, e.g. experience in all aspects of MS Office.
  • Pre-employment physical with additional testing as required to meet OSHA standards.

Responsibilities

  • Work directly with the Administrator (or Front Office Supervisor) for the smooth functioning of the reception/registration aspects of the Center.
  • Maintain the daily schedule, answer multiple phone lines, and obtain patient registration information.
  • Enter demographic and insurance information into the billing system and verify pre-authorization numbers.
  • Schedule appointments and complete patient demographic and insurance information.
  • Accurately schedule a patient for a procedure or change an appointment in the automated scheduling system.
  • Call patients to complete their registration form, asking all questions in a professional manner.
  • Review all registration forms and follow up by phone if any pertinent information is incomplete.
  • Obtain pre-authorization for procedures at the Center.
  • Check every patient's insurance to see if an authorization is needed for a procedure.
  • Call the Professional office to obtain referrals for the procedure.
  • Print a list of completed patient information prior to the procedure date.
  • Prepare and review data prior to the day of the procedure.
  • Verify the accuracy of the next day's schedule and print completed registration forms.
  • Assemble chart paperwork and check that all papers have the patient's identification sticker.
  • Call all patients the day before the procedure as a reminder.
  • Print billing sheet the working day prior to the procedure date.
  • Prepare the patient identification bracelet.
  • Verify the presence of a consent form for the procedure.
  • Greet patients on the day of the procedure and verify the correct procedure and physician.
  • Explain the center policy on Advanced Directives, grievance process, and Patient Rights and Responsibilities.
  • Assemble the chart and notify the nursing staff that the patient is ready.
  • Answer questions of family/friends regarding the progress of the procedure.
  • Efficiently and courteously answer multiple phone lines and direct calls.
  • Maintain an adequate inventory of stationary and printed forms.
  • Operate and troubleshoot computer, fax, copier, and printer.
  • Inform supervisor of any problem with the schedule.
  • Open the Center in the morning for patients.
  • Keep the reception area neat and clean during the day.
  • Complete any request for a copy of medical records.
  • Perform additional duties as directed.
