About The Position

As an Operations and Associate Task Management Specialist, you will function as the key coordinator for all official correspondence and action items, responsible for providing hands-on support for the directorate's task management process. Leveraging exceptional organizational skills and proficiency with formal tasking systems, you will log all incoming actions, assign them to the appropriate personnel, monitor their progress against deadlines, and conduct quality control reviews on all outgoing responses. You will provide the critical administrative backbone and procedural discipline that allows the directorate to operate efficiently and meet its commitments to internal and external stakeholders.

Requirements

  • Security Clearance: Must possess and maintain an active SECRET security clearance.
  • Education: A Bachelor's degree from an accredited university is required.
  • A minimum of 3 years of professional experience in task management, project coordination, or business process support.
  • Direct, hands-on experience with a formal government or corporate task management system (e.g., ETMS2, TMT, CATMS) is highly required.
  • Expert-level proficiency with the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and Adobe Acrobat.
  • Demonstrated proficiency in managing and organizing content within Microsoft SharePoint.
  • Exceptional organizational skills with a methodical approach to tracking details, managing competing priorities, and proactively solving problems with minimal supervision.
  • Excellent written and verbal communication skills, with strong interpersonal and conflict resolution abilities to effectively influence outcomes and manage deadlines with personnel at all levels.
  • Proven ability to handle sensitive and classified information with a high degree of professionalism and discretion.

Nice To Haves

  • A degree in Business Administration, Management, Communications, or a related field is preferred.
  • Demonstrated experience supporting senior-level military (O-5/O-6) or civilian (GS-14/GS-15) leaders in a fast-paced environment is highly preferred.
  • Working knowledge of Army regulations governing correspondence and communication, such as AR 25-50 (Preparing and Managing Correspondence), is strongly preferred.

Responsibilities

  • Serve as the directorate's primary operator for tracking all internal and external taskers using the Army Enterprise Task Management Software Solution (ETMS2).
  • Receive, log, assign, and monitor all incoming tasks, ensuring they are directed to the appropriate action officers and that all deadlines are clearly communicated.
  • Conduct final quality control checks on all outgoing tasker responses, ensuring they are properly formatted, internally staffed, and submitted in accordance with established procedures and deadlines.
  • Serve as the primary liaison with higher headquarters and external agency task management counterparts to deconflict deadlines, clarify requirements, and resolve cross-organizational issues.
  • Proactively identify and recommend improvements to the directorate's task management processes and Standard Operating Procedures (SOPs) to increase efficiency and accountability.
  • Analyze tasker data to identify trends, such as recurring bottlenecks, common areas of delay, or workload distribution, and provide actionable insights to leadership.
  • Train and onboard new directorate personnel on the proper use of the ETMS2 system and internal tasker policies and procedures.
  • Manage the organization's information repositories (e.g., SharePoint, shared drives) for all official tasker documentation, ensuring records are properly stored, organized, and accessible for future reference.
  • Generate and deliver regular status reports on tasker progress, including pending deadlines and overdue actions, to directorate leadership.
  • Prepare and consolidate recurring reports, such as Weekly Activity Reports (WARs), by compiling inputs and status updates related to ongoing tasks.
  • Assist in compiling meeting notes and action items, with a primary focus on logging and tracking all assigned actions within the formal tasking system
