We are looking for an Associate Occupancy Planner for our Occupancy Planning Team. We are seeking an Associate Occupancy Planner to join and help our team successfully manage client move request activity; gather and evaluate business information, occupancy, and real estate market data; provide support for presentations and requests for strategy recommendation, as well as real estate reporting for our clients.

Responsibilities

  • Ensure accurate reporting of information and foster critical relationships between various individuals and organizations.
  • Collect seating assignments from department managers and/or administrative assistants.
  • Review and approve moves, develop migration plans and conduct facility audits with move coordination and facility management teams.
  • Resolve campus/building-specific forecasts, needs, concerns, and issues with other members of the occupancy planning team.
  • Build familiarity with demand planning, understand supply and capacity, and accommodate forecasted changes.
  • Process and approve move and space requests and develop churn reports by department and building.
  • Provide key data points for presentations and outline pros & cons between options.
  • Understand the basics of space allocation and chargeback reports.

Requirements

  • Bachelor's Degree in Architecture, Engineering, Construction Management or equivalent.
  • 2-4 years of progressively responsible experience in managing occupancy, space, move management, and change management processes.
  • Proficiency with data analytics and Sheets and Excel.
  • Proficiency with Google suites and experience utilizing Slides and PowerPoint.
  • Excellent communication skills including active listening, verbal, written and visual.
  • Ability to engage at all levels of leadership from administrative to executive level.
  • Ability to multi-task and manage time to meet deadlines.
  • Ability to work independently, problem solve and navigate through ambiguity.
  • Experience with implementing flex office, hoteling and alternative workplace solutions programs.
  • Working knowledge of architectural drawings and furniture systems.
  • CAFM system and AutoCAD experience is preferred.
  • Proficiency in a range of information technology tools and platforms.
  • Highly organized and keen attention to detail.
  • Flexibility with work hours and travel as needed.

Nice-to-haves

  • Experience with implementing flex office, hoteling and alternative workplace solutions programs.
  • CAFM system and AutoCAD experience.
