We're seeking a future team member for the role of Associate, Executive Assistant II to join our Legal Administration Group (LAG). This role is based in Pittsburgh, PA, hybrid.

Requirements

  • High school/secondary school or the equivalent combination of education and experience is required; bachelor's degree preferred.
  • Applicable vocational training (e.g., courses on relevant business software like the Microsoft Office Suite of products, basic business writing, or similar) preferred; AA degree or relevant business certifications preferred.
  • Experience in a law firm or legal department is preferred.
  • 5-7 years of total work experience preferred.
  • Strong organizational, interpersonal, and communications skills.
  • Proficiency in Outlook and shared/group calendars, Microsoft Excel, PowerPoint, Word, and SharePoint and adaptability and interest in emerging technologies.
  • Ability to effectively prioritize competing requests and switch focus as needed.

Responsibilities

  • Support a large team (>10 people) including attorneys and other legal professionals of the Legal Department up to and including senior executives across multiple practice areas.
  • Daily interaction with executive's direct reports and team; interacts more frequently at leadership level.
  • Independently completes a wide range of advanced, diverse, and complex administrative activities.
  • Manage calendar, travel, expense reporting.
  • Develop advanced correspondence and reports.
  • Exercises greater autonomy and latitude in time management and work methods including troubleshooting a diverse range of sometimes complex issues as they arise.
  • Effectively collaborates and communicates, including information exchange with internal and external contacts.
  • Tact, diplomacy and confidentiality are essential skills based on the level of internal and external contacts.
  • Responsible for the timeliness, quality and accurate completion of own work.
  • May manage general office administration in certain circumstances.
  • May assist with accounts payable/receivable in addition to budgets and expenses.
  • May participate in diversified, longer-term projects.
