About The Position

The Associate Director of Gift Planning at Caltech plays a pivotal role in overseeing the Office of Gift Planning (OGP), which is recognized as one of the largest planned giving programs in the United States, managing over $120 million in assets. This position is integral to the administration of trusts and bequests, ensuring that all planned gifts and complex asset gifts are effectively accepted, handled, and reported. The Associate Director will work closely with the Deputy Director to facilitate estate administration and coordinate various components of trust administration, acting as a professional trust department within the OGP. The Associate Director's responsibilities include administering estate distributions to Caltech, reviewing incoming estate documents, and coordinating with various stakeholders such as trustees, executors, and financial advisors. This role also involves overseeing the completion of estate beneficiary forms and working with the Office of General Counsel on probate and trust administration matters. The Associate Director will respond to inquiries from campus partners regarding estate distributions and ensure that all processes are compliant and efficient. In addition to estate administration, the Associate Director will manage day-to-day operations with TIAA Kaspick, oversee donor access to online resources, and coordinate with the Finance office on life income gifts. The role requires a strong focus on data management, including overseeing gift processing forms, maintaining data integrity, and preparing reports for audit purposes. The Associate Director will also be responsible for gathering data for annual planned giving program analytics and developing materials as needed. This position is essential for fostering a thriving community of support for Caltech through philanthropy, ensuring that the Institute has the necessary resources to achieve its aspirations in teaching, research, and scholarship.
