About The Position

The Graduate School seeks to hire an Associate Director of Academic Affairs. This position will oversee degree services, student records maintenance, student/faculty/staff outreach, and student records systems for the Graduate School. This position will also supervise two staff within the academic affairs area of the Graduate School.

Requirements

  • Applicants should have experience in reporting and analysis to make data-driven decisions.
  • Attention to detail is key in this position, as well has having excellent customer service, interpersonal, presentation, oral, and written communication skills.
  • Academic Affairs within the Graduate School has a high volume of administrative work that involves attention to detail and managing independent work.
  • Applicants should have proficiency with Microsoft Office and a proven ability to learn and use new technology, including university systems.
  • Bachelor's degree from a college or University accredited by the US Department of Education or internationally recognized accrediting organization.
  • 3 to 5 years of relevant experience in Higher Education
  • Two or more years of experience in supervision (excluding graduate or student assistants)
  • Two or more years of experience with university systems, structures, credentials, and student services

Nice To Haves

Responsibilities

  • Degree conferral process
  • Responsible for the graduate degree conferral process. Manage communications regarding degree clearance (conferrals, denials, departmental contacts) and conduct semesterly reports/data integrity review.
  • Dissertation and thesis review; virtual hours and presentations
  • Responsible for the review process for dissertations and theses as well as the conferral of doctoral degrees
  • Responsible for the dissertation and thesis preparation/publication presentations and virtual office hours.
  • Academic records maintenance
  • Responsible for the creation and maintenance of semesterly communications sent to graduate students and faculty/staff for various student records.
  • Responsible for graduate student academic records maintenance, which includes the following areas: managing the processing of transfer credit/advanced standing, admission to candidacy, statute of limitation extensions, program withdrawals, program changes.
  • Responsible for processing requests for information concerning graduate students (i.e., background investigations, degree verification letters, individual student requests for academic information).
  • Systems testing/management
  • Assist in the testing and implementation of student records related software for the Graduate School. This will include meetings with departments and facilitating trainings as needed. Be the functional lead for uAchieve degree audit system, JotForm, and EAB for the Graduate School.
  • Commencement functions
  • Responsible for the commencement functions for graduate students; manage and oversee the commencement program with the Events Office. Manage the Graduate School participation in the Doctoral Commencement ceremony (coordinate volunteers, produce student and faculty attendee lists, coordinate student participation).
  • Supervising
  • Lead and manage the Assistant Director of Academic Affairs and Assistant Director of Student Academic Support. Review staff performance and time cards. Lead direct reports/team providing guidance, support, and performance feedback to assure goals, programs, activities, and personnel practices are consistent with and contribute to the University's mission. Lead employees for maximum performance and dedication, fostering a positive and productive work environment. Complete performance management feedback and goals timely and per requirements, offering constructive feedback and developing improvement plans.
  • Other reasonable duties as assigned
