The Opportunity The Medical Affairs Operations Lead is a newly created position and will report the SVP of Medical Affairs. The individual will be responsible for building and executing the operational infrastructure required to support Entrada’s growing Medical Affairs function across neuromuscular and other therapeutic programs. This role will serve as the tactical engine for Medical Affairs—driving operational excellence, cross-functional alignment, compliant execution, and efficient resource management. The ideal candidate brings deep experience in medical affairs operations within high-growth biotech and thrives in an environment where processes, systems, and standards are being built for the first time.

Requirements

  • Bachelor’s degree in a scientific field with a successful track record working in the pharmaceutical or biotech industries for 5 + years.
  • 5+ years of experience in Medical Affairs Operations within biotech/pharma; rare disease or RNA therapeutics experience a plus.
  • Exceptional project management, budgeting, and vendor management skills.
  • Ability to work cross-functionally, influence without authority, and lead through ambiguity.
  • Highly organized, detail-oriented, and comfortable operating at both strategic and tactical levels.
  • Ability to travel (US and International) approximately 30 % of time .
  • This role follows a hybrid working model, with office attendance 2-3 days per week minimum at the Entrada Therapeutics Headquarters in Boston, MA.

Responsibilities

  • Medical Congress Operations (Global & Regional) Lead end-to-end planning and execution of Medical Affairs activities at scientific and medical congresses (e.g., AAN, MDA, WMS).
  • Manage scientific booth operations, including vendor oversight, logistics, materials development, metrics capture, and post-congress reporting.
  • Develop and steward a comprehensive annual congress strategy and calendar.
  • Medical Affairs Team Operations & Governance Plan, execute, and optimize Medical Affairs team meetings and cross-functional congress planning meetings
  • Maintain the Medical Affairs annual strategic plan, key deliverable tracker, and operational KPIs.
  • Budget Management & Financial Operations Own Medical Affairs budget tracking, forecasting, and monthly accruals in partnership with Finance.
  • Manage PO (Purchase Order) creation, approval workflows, vendor contracts, and invoice reconciliation.
  • Develop and implement budget visibility tools (dashboards, trackers) for leadership.
  • Review vendor proposals, SOWs, and contracts for operational feasibility and cost efficiency.
  • Grants, Funding & External Support Programs Manage the Independent Medical Education (IME) grant process, ensuring compliant review, approval, and documentation in accordance with Entrada policies and OIG/PhRMA guidance.
  • Oversee investigator-initiated studies (IIS) and externally sponsored research (ESR) operations, including intake, feasibility review coordination, contract routing, and milestone tracking.
  • Align with Legal, Compliance, and Clinical Operations to ensure appropriate scientific rationale, fair-market value (FMV) assessments, and compliant disbursement of funds.
  • Maintain a centralized database of all MA-supported grants and funding programs with performance metrics.
