Reporting to the Senior Director of Faculty Affairs, the Associate Director provides critical operational, data, and event management leadership in support of faculty lifecycle processes, governance, and community engagement at Columbia Business School (CBS). The incumbent exercises independent judgment and professional discretion in overseeing faculty lifecycle operations, data integrity, and event execution while ensuring alignment with University policy and CBS governance standards. This position serves as a key role in coordinating essential operational functions for the Faculty Affairs Office ensuring seamless workflows, accurate data management, effective communication, and successful execution of high-quality events that support faculty engagement and recognition. The Associate Director partners closely with divisional administrators, center directors, HR, and the Senior Vice Dean for Faculty Affairs (SVDFA) to advance CBS's goals of consistency, fairness, and transparency in all faculty affairs functions. The role requires a highly organized, detail-oriented professional who thrives in a fast-paced, service-oriented environment and can balance project management, systems coordination, and event execution with professionalism and discretion.   • Works with various stakeholders to ensure completion of day-to-day processes and operations for full lifecycle milestones for Faculty Affairs Office including appointments, reappointments, visiting and zero-salary appointments, sabbaticals, and leaves.
  • Manages onboarding logistics for new faculty in collaboration with divisions, HR, and centers, including scheduling, communications, and material preparation.
  • Maintains and regularly updates operational trackers, calendars, and dashboards monitoring faculty appointments, status changes, ensuring accuracy and accessibility.
  • Ensures proper preparation, review, and archiving of faculty-related documentation ensuring compliance with CBS and University policy.
  • Executes Faculty Affairs events and programs that strengthen faculty engagement and recognition, including orientation breakfasts, faculty lunches, senior faculty dinners, and retreats.
  • Logistics for events such as new faculty orientation, faculty governance meetings, annual faculty recognition events, retirement celebrations, and policy or training sessions.
  • Prepares and oversees event budgets, vendor coordination, and post-event evaluations.
  • Manages event planning and execution, including scheduling, venue selection, catering, communications, materials, and on-site logistics, partnering with the Events team as needed.
  • Develops and maintains a Faculty Affairs events calendar, ensuring alignment with broader CBS events and milestones.
  • Produces Faculty Affairs communications, newsletters, presentations, and engagement materials using content provided by SVDFA and the Faculty Affairs team.
  • Maintains and updates the Faculty Affairs intranet and website content, ensuring accuracy and accessibility.
  • Designs and edits presentation decks, event slides, and recognition materials for faculty meetings and events.
  • Draft letters, templates, and routine correspondence related to faculty appointments, awards, and lifecycle activities.
  • Manages Faculty Affairs listservs and ensures accurate communication distribution across CBS divisions and centers.
  • Manages scheduling, materials preparation, and follow-up for Faculty Affairs meetings, working groups, and internal team sessions.
  • Maintains organized records and shared drives for all Faculty Affairs documentation.
  • In collaboration with the Associate Dean, supports the development of annual reports, policy documents, and accreditation materials as needed.
  • Serves as the main point of contact for general Faculty Affairs inquiries and communications, escalates as appropriate to ensure timely and accurate responses.
  • Coordinates administrative logistics for the Faculty Affairs Office, including procurement, supply management, and facilities/IT requests.
  • Performs additional duties as assigned
  • Bachelor's degree and/or equivalent experience required. A minimum of 3-5 years of related experience is required.
  • Demonstrated experience in coordinating faculty or academic administrative processes and managing confidential information.
  • Exceptional organizational and project management skills, with the ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills; ability to draft correspondence, reports, and presentations.
  • Proficiency in Microsoft Office, Google Workspace, and data management systems; familiarity with PAC, ARC or FAR strongly preferred.
  • Demonstrated ability to collaborate effectively across administrative and academic teams in a complex institutional setting.
  • Professional demeanor and discretion in handling sensitive matters.
  • Experience in a faculty affairs or academic operations role within a research-intensive or professional school.
  • Knowledge of University HR policies, faculty lifecycle processes, and governance frameworks.
  • Experience in planning and executing high-profile events or faculty recognition programs.
  • Strong attention to detail and a proactive, service-oriented mindset.
