About the position

The Associate Director/Director of Finance and Operations is a key leadership role at Civitas Networks for Health, responsible for the overall management and execution of the organization’s financial, human resources, and operational functions. This position reports to the Vice President of Programs and Operations and serves as the lead for all internal operations, including finance and accounting, compliance, HR administration, technology systems, and organizational processes. As the internal team member leading these areas, the Director collaborates with outsourced vendors, consultants, and the leadership team to ensure effective planning, execution, and continuous improvement in support of Civitas’ mission. This role is ideal for a strategic, hands-on professional seeking an impactful opportunity in a fast-paced, fully remote nonprofit organization.

Responsibilities

  • Serve as the primary liaison with outsourced accounting and audit vendors, ensuring accurate and timely financial reporting.
  • Oversee day-to-day financial operations, including accounts payable/receivable, payroll, monthly reconciliations, and cash flow management.
  • Support budgeting, forecasting, and financial planning processes, including development and monitoring of organizational and program-specific budgets.
  • Prepare regular financial reports and dashboards for leadership and the Board to support strategic decision-making.
  • Track and ensure compliance with restricted funds, grants, and funder requirements.
  • Oversee revenue recognition policies and ensure alignment with GAAP and nonprofit financial best practices.
  • Manage the annual audit and tax filing process (e.g., Form 990), ensuring regulatory compliance and timely completion.
  • Provide recommendations on cash reserves and investment planning.
  • Maintain and continuously improve financial policies, internal controls, and contract lifecycle management procedures.
  • Design, implement, and improve operational systems and workflows that enhance organizational effectiveness and cross-functional collaboration.
  • Serve as administrator for core systems including Sage Intacct, BILL, Salesforce, Justworks, and Monday.com.
  • Manage vendor agreements, organizational registrations, insurance coverage, and procurement processes.
  • Oversee compliance with data privacy, security protocols, and IT best practices.
  • Coordinate the selection, rollout, and staff training for technology tools that support internal operations.
  • Lead business continuity and risk management planning.
  • Maintain and streamline administrative documentation, including SOPs, templates, and operational resources.
  • Act as the internal point of contact for HR functions, in coordination with the organization’s PEO (Justworks).
  • Oversee onboarding and offboarding, performance review processes, and employee recordkeeping.
  • Manage benefits and compensation administration, including annual benefits renewal and compliance with federal and state laws.
  • Track and report on HR metrics such as retention, engagement, and benefits usage.
  • Maintain and update the employee handbook and internal HR policies.
  • Support professional development tracking and employee growth initiatives.
  • Champion equitable and inclusive HR practices that foster a supportive workplace culture.
  • Other duties as assigned.

Requirements

  • Bachelor’s degree in finance, accounting, business administration, or related field required; advanced degree or certification (MBA, CPA, CMA) preferred.
  • Minimum of 6-8 years of experience in nonprofit finance and operations, with increasing responsibility.
  • Strong knowledge of accounting principles, compliance standards, and nonprofit financial management.
  • Demonstrated experience managing HR systems, business operations, and vendor relationships.
  • High proficiency with Sage Intacct, BILL, Salesforce, Microsoft 365, and other business platforms.
  • Ability to work independently, manage multiple priorities, and lead cross-functional initiatives.
  • Strong communication and interpersonal skills, with a commitment to collaboration and continuous learning.
