About The Position

The Office of Admissions is responsible for the admission activities for all domestic and non-resident undergraduate and graduate students. The Office is meeting the goals of the University by promoting the image of the University, its programs and uniqueness both domestically and internationally. The Office is also charged with assisting with the setting and meeting of the enrollment goals of the University via strategically reviewing trends, needs and capacity issues; planning with Deans and senior management; developing relationships with the campus and external communities; providing timely, accurate and comprehensive services to students and the campus throughout the admission and enrollment processes. The Office is responsible for compliance with federal, state, and CSU system and University requirements and the timely and accurate dissemination of information to students, parents, campus constituents, the CSU Chancellor's Office, and the external community. Application processing, eligibility determination, counseling, reporting, and enrollment planning are the primary functions of this office. The Office of Admissions is housed within the Division of Academic Affairs and reports to the Senior Associate Vice President of Enrollment Management & Services. The Office plays a leadership role in enrollment management and planning in conjunction with other campus constituents.

Requirements

  • Bachelor's Degree - in related field
  • Driver License, Valid and in State
  • Minimum of five (5) years experience in higher education, plus two (2) years of supervisory/leadership experience at a professional level.
  • Excellent interpersonal skills; ability to lead a team of people from diverse backgrounds; maintain current knowledge of admissions policies and issues; ability to develop a strategic approach to admissions; monitor progress towards goals and recommend/implement a comprehensive strategic plan, maintain current and ongoing knowledge of international enrollment practices and global mobility trends.

Responsibilities

  • Directs the processing and evaluation of all freshman and transfer applications, including undergraduate international applications.
  • Oversees and manages the Transfer Credit and Compliance team.
  • Provide guidance, support, and training to ensure accurate and consistent evaluation of transfer credits and degree progress lower division reconciliation.
  • Represents the University as an ambassador from admissions to strengthen partnerships within the internal and external communities.
  • May exempt students from certain conditions as stated in policies and/or established procedures.
  • Co-facilitates and reviews admission appeals, rescinds, and defers as appropriate.
  • The incumbent will provide ongoing reports and analysis to monitor progress toward goals, assess the effectiveness of strategies implemented, and provide direction for future actions.
  • Responsible for finding ways to optimize the efficiency of the review and processing of undergraduate applications.
  • Implements and enforces admission policy, philosophy, and procedures in support of campus strategic and academic plan. Includes but is not limited to international admissions requirements and evaluation.
  • The incumbent works with the Associate Director, Admissions & Operations to formulate staff worklists. They will also work together to create reports to be used for data cleanup. They will have an understanding of the check listing process and the ability to run various processes per the startup plan.
  • Supports the accurate and timely production of Chancellor Office admission and record reporting files (ERSA, ERSS, etc.) from the student system.
  • This position is a liaison with academic and administrative units on campus and with the community, including Outreach, Recruitment and Education Partnerships (OREP), the International Center, the Registrar's office and New Student Programs & Parent and Family Engagement.
  • Incumbent is responsible for maintaining professional and productive relationships between the unit and a variety of units, agencies and individuals both within and outside of the University.
  • Interacts with students, faculty, staff, administrators, school counselors (domestic and international) and other external community representatives to advise on admission inquiries, policy and procedural matters relating to admissions.
  • Resolves problems referred to by faculty and staff.
  • Establishes and maintains appropriate network of professional contacts.
  • Maintains currency with best practices, professional organizations and publications.
  • Attends and participates in meetings and conferences.
  • The incumbent assists the Director with the development of communications and the Office of Admissions website.
  • Represents the University and/or the Office of Admissions as assigned or as appropriate.
  • This position is responsible for supervising department staff.
  • The incumbent defines the duties and responsibilities of staff, assesses performance and provides feedback, designs and coordinates training and staff development, and provides input for and oversees the selection and appointment of personnel for staffing.
  • Responsible for ensuring staff members know about and incorporate CSU admission policies in all aspects of their daily work.
  • Hires, trains, supervises, motivates, evaluates and develops staff.
  • The incumbent assesses performance and provides feedback; counsels or disciplines staff as needed; recommends promotion, leaves of absence, and performance-based salary increases.
  • As a part of the Admission leadership team, collaborates with managers and leads staff to ensure the seamless delivery of services to students and the campus.
  • The incumbent assists with the planning, allocation, and monitoring of staff and operational resources.
  • Engages stakeholders from all academic units to ensure a clear understanding of their expectations for applicants and enrollment, including international and out of state.
  • Oversees the hiring, evaluation, and training of transfer evaluators, transfer credit and compliance staff.
  • The incumbent also maintains an active staff training and development program with a focus on continuous improvement and customer service.
  • Serves as the HEERA manager for professional and administrative staff.
  • Oversees and manages the Transfer Credit and Compliance team.
  • Provide guidance, support, and training to ensure accurate and consistent evaluation of transfer credits.
  • Posting of transfer credit includes both incoming and continue students.
  • Oversees the transfer credit of special populations such as military, returning, and international credit, possessing a strong working knowledge of all areas to ensure adequate training of the credit team.
  • Coordinates with the International Admission Specialist for the appropriate posting of foreign credit, including but not limited to study abroad credit, incoming transfer credit from foreign institutions, and international baccalaureate (IB) college credit.
  • Responsible for the re-posting of transfer credits for returning transfer students to Cal Poly Pomona.
  • Ensures appropriate credit is given for the current articulation term.
  • Serves as the liaison to New Student Orientation and Parent and Family Engagement and the Orientation advising community regarding transfer credit targets, timelines and processing.
  • Develop and maintain policies related to the evaluation and acceptance of transfer credits. Ensure that these policies align with University guidelines and accreditation standards.
  • Partner with campus articulation officer and Registrar’s office for the creation of (or corrections to) and implementation of new course articulation and equivalency rules.
  • Collaborate with academic departments and work closely with academic departments to stay informed about changes in curriculum and program requirements.
  • Monitor and streamline the transfer credit evaluation process. Implement efficient workflows and procedures to ensure timely processing of credit transfer requests.
  • Provide ongoing training for transfer credit evaluators to keep them informed about changes in policies, procedures, and best practices in credit transfer evaluation.
  • Participates in all Office of Admissions, Enrollment Cluster, and divisional staff development and staff meetings, and attends all major staff events to promote the University.
  • Adheres to laws and policies established regarding computer data, records, accounting, and personnel by the California State University, Cal Poly Pomona, and the Office of Admissions to show sensitivity and appropriate conduct as a University employee.
  • Assists the Enrollment Services management team with long- and short-range planning and goal setting, policy and process changes, and coordination of services and programs.
  • Prepares and utilizes enrollment reports detailing application, admit and enrollment trends, and prospective student inquiry analysis to determine yield strategies.
  • Performs administrative and programmatic duties as assigned.
  • Works extended hours, weekends, and evenings in support of the Office of Admissions programs and services.
