About The Position

The Associate, D.C. Office Coordinator, serves as the central point of contact for daily office operations at ICBA’s Washington, DC location. Reporting to the Vice President, Facility Operations, this role combines administrative excellence with event coordination and hospitality management to ensure a productive, welcoming, and well-organized work environment for all staff and visitors. This Position will work on-site five days a week, Monday-Friday.

Requirements

  • High school degree; associate degree preferred.
  • Minimum 2 years of experience in office administration and event coordination.
  • Strong organizational, multitasking, and problem-solving skills.
  • Proficiency in Microsoft Office Suite and scheduling tools.
  • Excellent verbal and written communication skills.
  • Ability to lift and move items up to 40 lbs.

Responsibilities

  • Provide primary switchboard and front desk coverage during assigned hours and when the main receptionist is at lunch, on breaks, or out of the office. Occasionally provide extended coverage beyond assigned hours as needed. Maintain accurate tracking of call volume and types for reporting and service improvement.
  • Checks and resets workspaces, ensuring they are reset daily to create a clean, professional, and welcoming office environment.
  • Perform light upkeep of shared common areas.
  • Monitor, order, receive, and restock office and breakroom supplies.
  • Oversee office maintenance, custodial requests, service of breakroom equipment, and shredding services.
  • Provide administrative support to the SEVP CFO as needed, including scheduling and organizing departmental and budget – related meetings.
  • Prepare reimbursement expense reports using Concur as needed.
  • Other duties as assigned.
  • Coordination and logistics for small-scale, in-house meetings and events, including vendor contracts, catering, space reservations, and setup/breakdown.
  • Maintain an organized contact list of preferred vendors.
  • Monitor and manage event-related expenses to ensure alignment with budgetary guidelines.
  • Support guest management, including RSVP tracking and special accommodations.
  • Occasionally required to arrive early or stay late to support event execution.
  • Assist with planning and execution of monthly Community Day events that reflect company culture and seasonal themes.
  • Research and recommend food options that complement selected themes, considering dietary preferences and budget.
  • Coordinate internal communications to encourage participation and engagement.
  • Support the management of ICBA’s Nationals Baseball Suite for internal and external events.
  • Process ticket and parking requests for employees, members, and guests through email communications.
  • Coordinate catering and manage suite rentals to external contacts, including communication, ticket distribution, catering coordination, and billing reconciliation.

  • The target annual salary range for this role is currently $40,000 to $60,000 based on a regular, full-time schedule.
