As an Associate Administrative Assistant you will perform clerical, administrative, and general office duties involving transcription, typing, record and file maintenance, mail distribution and telephone reception. Provides secretarial services for one or more persons, typically at management levels below Vice President. This position is salaried nonexempt status, which means you are eligible for overtime pay.

Requirements

  • High School diploma or GED required.
  • 3 years of secretarial experience required.
  • Able and willing to work on-site, in-person at the Valero Hanger location, required.
  • Experience working with SAP and Concur Expense & Travel to aid the department in contracts, expense reports, annual/monthly budgets, and setting up vendors required.

Nice To Haves

  • Bachelor's or Higher-level degree in a related field is preferred.

Responsibilities

  • Open and distribute incoming mail.
  • Locate and attach appropriate file to correspondence to be answered by employer.
  • Draft routine letters and memoranda from specific instructions.
  • Respond to routine requests for information and refer more complex requests to appropriate staff member.
  • Organize and maintain file system, and file correspondence and other records.
  • Receive and refer visitors and telephone callers.
  • Coordinate manager's schedule, make appointments and arrange for conference calls.
  • Arrange and coordinate travel schedules and reservations.
  • Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, and record and transcribe minutes of meetings.
  • Produce a variety of correspondence and reports.
  • Make copies of correspondence or other printed materials.
  • Prepare outgoing mail and correspondence, including e-mail and faxes.
  • Order and maintain supplies, and arrange for equipment maintenance.
  • Work within SAP and Concur Expense & Travel to aid the department in contracts, expense reports, annual/monthly budgets, and setting up vendors.
  • Occasionally travel for more than one day, but not on a regular basis.
