The Assistant to the Director at the Kavli Institute for Astrophysics and Space Research (MKI) will coordinate, lead, and assist with operational activities and non-technical projects that span the administrative needs of MKI. This role provides administrative and logistical support for the Director and Associate Director, managing complex travel arrangements for both the Director and Associate Director, as well as for external speakers from the MKI colloquium series. The Assistant will serve as a representative and face of MKI, acting as the first point of contact, greeting visitors and appointments, assisting employees and students with inquiries, and being a resource on department and Institute matters. Responsibilities also include planning and managing events, seminars, and colloquia, arranging scheduling and use of space in the Marlar Lounge, purchasing and setting up/breaking down refreshments for MKI Tuesday afternoon colloquium and lunch catering for Friday Journal Club, handling reimbursements for Graduate Student/Postdoc lunches, and curating content for MKI's WordPress website.

  • A minimum of two years of busy office experience supporting a research center or not-for-profit, preferably in higher education.
  • Excellent oral and written communication skills, including experience with digital content.
  • Ability and willingness to initiate correspondence and meetings as needed.
  • Ability to solve problems and anticipate needs.
  • Ability to work independently in a multi-task work environment with changing priorities and limited supervision.
  • Willingness to take initiative on assigned projects.
  • Web programming experience in WordPress and basic HTML.
  • Ability to interact independently with diverse personnel, both within MIT and outside.
  • Experience or willingness to learn Microsoft Office for Mac platforms.
  • Experience or willingness to learn Adobe Photoshop and Illustrator.
  • Experience with science writing.

  • In-person attendance required 4 days per week with one flexible day to work off-campus.
